Job Summary
The Front Desk Specialist helps ensure that all patients we serve have a compassionate and supportive experience with Hope Clinic for Women. This position is critical to building patient confidence and providing excellent patient care by demonstrating high customer service standards.
Duties and Responsibilities
Front Desk and Patient Services
- Ensure timely and efficient execution of all front desk activities, making appointments, registering and checking-in/out patients, maintaining patient medical records, obtaining any additional consents needed for services and greeting visitors.
- Ensure timely and efficient execution of all patient services activities, such as answering the phone, completing intakes, obtaining informed consent, providing referrals to patients, and securing funding for patient financial assistance.
- Provide information on abortion, additional pregnancy options, and other medical services to patients as needed.
- Maintain effective communication with clinical and administrative staff to ensure complete and accurate identification and treatment of patient needs.
- Ensure the accuracy of patient payments and medical insurance related processes and collections.
- Review batches daily, and prepare bank deposits as needed.
- Ensure accuracy of all patient information in paper and electronic medical records.
- Demonstrate complete discretion when discussing patient information; adhere to strict standards regarding patient confidentiality, informed consent and disclosure as required by HIPAA, Illinois law and organizational policy.
- Actively communicate with the Front Desk Supervisor, additional supervisors, and other staff during clinic operations to ensure optimal patient flow and reduce patient wait times.
- Monitor patient feedback and contribute to the process of resolving complaints and service issues.
- Establish and maintain effective working relationships with all staff, departments, and clinicians and support a positive image of Hope inside and outside the organization.

Qualifications
- High School Diploma or equivalent
- Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
- A multi-tasker with the ability to wear many hats in a fast-paced environment
- Demonstrated integrity, credibility, and dedication to the mission of Hope.
- Detail-oriented, organized, empathetic, and punctual.
- Ability to stay calm when patients and/or staff are stressed or upset.
- Strong computer skills with experience utilizing electronic medical records.
- Some professional experience; ideally at least one year of customer service experience in a healthcare setting.
- A successful track record in setting priorities; keen analytic and problem-solving skills which support and enable sound decision making.
Working Conditions
- This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. This position also operates in a clinical environment.
- OSHA Blood borne Pathogen Exposure Determination: Based on the OSHA guidelines for protection against occupational exposure to hepatitis B virus (HBV) and human immunodeficiency virus (HlV), this position includes tasks that involve exposure to blood, body fluids, and tissues.
Physical Requirements
- While performing the duties of this job, the employee is regularly required to talk and hear in person, on the telephone, and via web conference. Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens, is necessary. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
- This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
- This role requires frequent sitting.

Hope Clinic for Women
Hope Clinic for Women is an independent, LLC, feminist organization that provides approximately abortions with a growing sexual health practice. We are a state-licensed ambulatory surgery center with more than 30 staff members. Our mission is to advance reproductive health and justice by providing safe, respectful, and accessible abortion and sexual healthcare.
We train health care providers from regional hospitals in first and second trimester abortion care. Hope Clinic for Women is a member of the National Abortion Federation (NAF) and the Abortion Care Network (ACN). We offer comprehensive contraception counseling and will expand our services in the coming years.
