Role: Client Concierge (Medical Reception)
Schedule: Mondays, Tuesdays, Fridays every other Saturday required (some flexibility on weekdays), with opportunity for full time transition.
We are looking for a responsible, meticulous, self-starter to join the team of The Hudson Med Spa and Dr. Brad Gandolfi in a reception role. Minimum two years experience in a medical facility and ability to speak Spanish required. The ideal candidate exudes positive energy, has excellent oral and written communication skills and is detail oriented. The candidate should also be proficient in the Microsoft Office suite of tools (Excel, Teams, etc.), and be able to pick up new technology systems easily (e.g., patient management systems). Duties of the Client Concierge include providing support to our managers and providers, and most importantly, our clients! As the first impression to many of our clients in the office, the team member selected for the position of Client Concierge has a big responsibility and contributes greatly to delivering exceptional customer service to our clients. The Client Concierge will work in-person in our Englewood, NJ location and must be available to work Saturdays.
ABOUT THE ROLE
Core Responsibilities Include
- Opens and closes the office each day, according to protocol
- Brings a positive attitude and lives out the company's values
- Appropriately discusses cosmetic consultations, cosmetic procedures and skin care services with prospective patients over the phone and in person—encourages them to schedule an appointment.
- Sends new patient paperwork to new patients within 2 hours of scheduling the appointment
- Runs the daily schedules—makes a copy for the physician, nurse, manager and any others in the office
- Welcomes patients as they arrive for scheduled appointments
- Guides clients through registration, intake forms, consents, photos, etc.
- Ensures all patient paperwork is complete before patient is seen – follows practice protocol to notify the clinical staff when patient is ready to be seen
- Keeps office on schedule throughout the day
- Diffuses client situations as needed over the phone or in person to the best of their ability
- Collects payments for consultations, skin care and spa services; posts charges and payments into the computer daily and schedules follow up appointments
- Speak to clients about services and skincare in order to appropriately book appointments and sell products recommended.
ABOUT YOU
Educational Requirements
- High school diploma required
- Associates or Bachelor's degree preferred
Qualifications and Experience:
- Three years’ experience in medical office, hospitality or other customer service-oriented position REQUIRED
- Multilingual, Spanish REQUIRED
- Experience using practice management software (NexTech experience a huge plus)
- Strong patient service skills with the ability to listen and communicate effectively and empathetically
- Familiarity with medication administration protocols
- Proficient in use of Microsoft Suite
- Agile, with the ability to perform multiple and diverse tasks simultaneously; good time management skills
- Strong written and oral communication skills
- Pleasant speaking voice and demeanor – excellent telephone skills
- Comfortable with using technology to communicate with clients - via email, social media, text and other tech applications
- Proven experience with proactive customer service and service recovery
- Familiarity with scheduling and rearranging appointments

- Neat, professional appearance
- Experience working with skincare products and medical practice (specifically cosmetic medicine) a huge plus

The Hudson Med Spa was conceptualized and founded by medical director, Dr Brad Gandolfi. Dr Gandolfi is board-certified by both the American Board of Surgery and the American Board of Plastic Surgery. He is also an active member of the American Society of Plastic Surgery, widely considered to be the most prestigious group within the profession. Dr. Gandolfi’s private practice has two locations: A brand new office and surgical center in New York in the heart of Greenwich Village, and The Hudson Med Spa in Englewood, NJ.
Other Key Functions
· HIPPA - Maintains patient confidentiality by following the HIPAA Compliance Plan established by the practice; releases PHI in accordance with the practice's HIPAA Compliance Plan, attends regular HIPAA training, maintains data security by refusing to share computer and other passwords, and reports all identified and suspected HIPAA violations to the Privacy Officer
· Access to PHI (Protected Health Information) - This position has extensive access to PHI. It requires access to computerized schedules and computerized or paper-based billing and reimbursement data both of which contain a patient's clinical and financial information. It also may require the review of patient referral forms, lab results, tests, and encounter form data in the medical record in order to prepare patient information for the physicians and clinical staff.
· Typical Physical Demands - Work may require sitting for long periods of time, and also stooping, bending and stretching for supplies. Employee will occasionally be asked to lift files or paper weighing up to 30 pounds. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Position also requires viewing computer screens and typing for long periods of time and working in an environment which can be stressful.
