Job Summary:
We are seeking a highly organized and detail-oriented Financial Department Administrative Assistant to join our dynamic team. The ideal candidate will have a strong background in finance support, with proven experience using QuickBooks and relevant business systems. Knowledge of the cannabis industry is a plus. This role involves supporting the finance team to ensure smooth and efficient operations.
Key Responsibilities:
Financial Support:
- Manage accounts payable and receivable.
- Reconcile bank statements and financial records.
- Assist in the preparation of financial reports and budgets.
- Perform data entry and maintain accurate financial records in QuickBooks and other relevant programs.
- Handle invoicing, billing, and payment processing (as part of AP/AR).
- Procure necessary supplies for the team on a weekly basis.
- Maintain W9 files for vendors.
Administrative Support:
- Process sales orders and ensure timely invoice delivery to customers.
- Maintain and update customer databases and financial records.
- Prepare reports as needed.
Customer Service:
- Address customer inquiries and resolve issues promptly.
- Assist customers with product information and order tracking.
- Build and maintain strong relationships with customers and wholesale partners.
Systems & Data Management:
- Utilize relevant business systems to manage orders and inventory.
- Ensure accurate and timely entry of information across all platforms.
Qualifications:
- Proven experience as an Administrative Assistant in a financial department or a similar role.
- Proficiency in QuickBooks is mandatory.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Detail-oriented with a high level of accuracy.
- Ability to work independently and collaboratively within a team.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Education:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field preferred.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
