Summary
The Inspired Community Project (TICP) is seeking a detail-oriented and organized Front Desk Receptionist to perform clerical tasks within a clinical daycare setting. The Receptionist will be responsible for supporting daily administrative operations across the organization, including but not limited to answering and transferring phone calls, sorting and delivering mail to employees, and greeting all families and visitors in a friendly and professional manner. This position plays a pivotal role in providing a welcoming environment for all while maintaining composure and professionalism in a high-activity environment, contributing to our mission of enhancing access to special education resources.
Duties & Responsibilities
- Act as the first-point-of contact for all TICP’S parents, guests and visitors.
- Greet parents, visitors and vendors in a cordial and professional manner and direct them to their respective space.
- Manage visitor access to the front door by monitoring security video and identify individuals via intercom prior to allowing them access into the premises.
- Answer and screen a heavy call volume, transferring calls and taking detailed messages as needed.
- Handle general office operations and activities, providing support to executives and associates
- Maintain the daily calendar, coordinating and confirming appointments
- Compose and distribute internal and external correspondence, letters and memos.
- Organize and maintain company records, compile data and keep accurate files.
- Assist with office management tasks including supply inventory and maintenance requests.
- Ensure the front desk area is organized and welcoming for visitors.
- Complete various ad hoc tasks and projects given to you by supervisors and managers.
- Maintain confidentiality of sensitive information.
- Perform other administrative duties as requested
Qualifications
- Some high school; high school diploma or equivalent NOT required.
- Bilingual Spanish preferred; NOT required
- Bronx Resident preferred; NOT required
- Must be able to follow oral and written instructions..
- Must be punctual and able to keep to the assigned schedule.
- Must be able to deal with emergencies in a timely and effective manner, while streamlining office operations.
- Self-starter who has a strong ability to follow-through and complete tasks.
- Strong organizational skills, with attention to detail and the ability to manage multiple tasks at once.
- Excellent written and verbal communication skills with the ability to maintain confidentiality and professionalism at all times.
- Creative and excited about working within a diverse community
- Basic computer skills: MS Office Suite; Google Applications
Position Details
- Position: Full time position, 40 hours per week, on-site
- Schedule: Monday-Friday, 7:30am-3:30pm
- Salary: $40,000/year
