The Institute for Rural Vitality seeks a Program Administrator to provide assistance and support for its programs and offerings. The position is an onsite position located at SUNY Cobleskill. The position is responsible for administration, coordination, and scheduling of IRV services with the primary focus being shared-use facility administration, workforce development administration and credential processing. The position will interface with the public, College faculty and staff, and IRV team members. There may be limited travel required for meetings.
Primary Qualifications:

· Administrative proficiency and experience.
· Proficiency with Microsoft Office Suite, including Outlook for email management
· Strong oral and written communication skills.
· Ability to be an engaged team member.
· Familiarity with SUNY Cobleskill’s and the Institute for Rural Vitality’s mission, vision and programming.
· Experience with event planning preferred.
· Experience with customer service and relationship management preferred.
· Associate’s or Bachelor’s degree from an accredited institution in communications, marketing, business, or management is preferred.
Responsibilities:
· Be the primary IRV contact for general phone, email, calendar, and program inquiries.
· Scheduling and coordination of IRV tours and events. This includes making room reservations, reserving vehicles, preparing agendas, placing catering orders, and organizing parking.
· Scheduling Shared Facility Users. This includes completing room reservations, notifying applicable faculty and staff, ensuring academic needs are meet and not conflicted with, evaluating potential training and onboarding needs, reviewing rules and procedures with clients, and preparing, submitting, tracking, and filing shared-use documentation.
· Assist facility supervisors with coordination of IRV client services across campus.
· Coordinate and assist in planning conferences, workshops, and other special events.
· Submit and file purchase requisitions and other reporting documents required for IRV transactions.
· Billing and collection for IRV programs and services as needed.
· Monthly financial reconciliation of IRV expenses with recorded transactions within the Advancement financial system and IRV accounts.
· Ensuring needed equipment and supplies are procured in a timely manner.
· Coordinate and complete the administrative aspects of workforce development and credentialing enrollment process which includes inputting data, collecting data from instructors, and uploading badge images into Credly.
· Provide administrative support for grant and program reporting.
Job Type: Full-time
Pay: $21.00 - $23.00 per hour
Expected hours: 37.5 per week
