The Associate HR Manager is responsible for leading the management and optimization of Human Capital Management (HCM) systems, ensuring their smooth launch, implementation, training, and stakeholder support. This role plays a critical part in updating and enhancing HR policies, maintaining accurate employee records, leveraging HR analytics for data-driven decision-making, and supporting strategic HR projects.

The ideal candidate will be a proactive HR professional with strong expertise in HR systems, data management, and process optimization. They will collaborate closely with the Chief People Officer, HR team, employees, and external partners to enhance the overall efficiency of HR operations.

 

Key Responsibilities:

 

1. HCM System Leadership & Implementation

  • Lead the end-to-end implementation, configuration, and optimization of Human Capital Management (HCM) systems to improve HR operations.
  • Partner with PMO, IT, HR teams, and external vendors to ensure system performance, updates, and troubleshooting are managed effectively.
  • Conduct regular audits of system data to ensure accuracy, compliance, and efficiency.
  • Provide comprehensive training and resources to employees, HR teams, and managers to drive system adoption and ease of use.
  • Continuously analyze system performance and recommend improvements to enhance the overall user experience and automation of HR functions.

 

2. HR Policies & Employee Handbook Management

  • Update, refine, and communicate HR policies and processes in alignment with legal requirements, industry best practices, and organizational objectives.
  • Ensure that the Employee Handbook remains up-to-date, accessible, and reflective of the company’s evolving culture and values.
  • Collaborate with HR leadership to implement policy changes that enhance compliance, employee experience, and engagement.
  • Develop effective internal communication strategies to inform employees about policy updates, ensuring clarity and adherence.

 

3. Employee Files & Records Management

  • Oversee the maintenance, security, and accuracy of employee records in both physical and digital formats.
  • Ensure compliance with legal, regulatory, and company standards related to employee file retention, confidentiality, and accessibility.
  • Conduct regular audits of employee files to verify data integrity, completeness, and compliance with labor laws and company policies.
  • Develop and enforce data governance best practices, ensuring that sensitive employee information is securely stored and only accessible to authorized personnel.
  • Work closely with IT and legal teams to maintain data privacy compliance (e.g., GDPR, CCPA, HIPAA, etc.) and respond to any employee data requests or audits.

 

4. HR System Expertise & Stakeholder Support

  • Serve as the subject matter expert on HR systems, ensuring smooth functionality and continuous system improvements.
  • Provide technical support, troubleshooting, and resolution for HR system-related issues affecting employees and managers.
  • Design and implement self-service tools and knowledge resources to empower employees and managers to navigate HR systems efficiently.
  • Facilitate ongoing training sessions to improve user engagement and drive seamless HR technology experiences.

 

5. HR Analytics & Data-Driven Decision Making

  • Analyze HR data and workforce metrics to generate meaningful insights that support strategic HR decision-making.
  • Develop and maintain customized dashboards and reports for HR leadership, tracking key performance indicators (KPIs) related to employee engagement, retention, diversity, and workforce planning.
  • Collaborate with HR and business leaders to translate analytics into actionable initiatives that drive employee satisfaction and operational efficiency.
  • Use predictive analytics and trend analysis to anticipate workforce needs, hiring patterns, and talent retention strategies.

 

6. Strategic HR Project Support

  • Assist the Chief People Officer in designing and executing HR initiatives, process improvements, and transformation projects.
  • Contribute to change management efforts, helping employees and managers adapt to new HR processes and systems.
  • Act as a liaison between HR, IT, and business units to ensure alignment between HR technology and overall systems.

 

Qualifications & Experience:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (Master’s degree preferred).
  • 3 years of experience in HR operations, HR technology, HR analytics, or related areas.
  • Strong expertise in HCM systems (e.g., Workday, SAP SuccessFactors, UKG, Oracle, or equivalent).
  • Experience in employee file management, compliance, and HR data privacy best practices.
  • Proficiency in HR analytics tools and reporting dashboards.
  • Strong problem-solving skills in HR system implementation, troubleshooting, and process improvement.
  • Excellent verbal and written communication skills to effectively educate stakeholders and drive HR initiatives.
  • Ability to manage multiple projects and priorities in a fast-paced, dynamic environment.

  • Collaboration & Stakeholder Engagement – Ability to work with cross-functional teams and employees at all levels.
  • Communication & Training Skills – Ability to educate and train employees on HR systems and processes.
