Job Summary
A 5 MONTH ASSIGNMENT. The Administrative Assistant to the Controller plays a crucial role in supporting the financial operations of the organization. This position is responsible for a broad range of administrative responsibilities and activities to maximize the time and effectiveness of the Accounting Department by providing administrative support in the functional areas described below to include the following:
Duties
- Work collaboratively with SMART stakeholders to include colleagues, local unions, members, retirees and external partners to ensure the efficient delivery of internal and external administrative support and services.
- Coordinate the administrative duties and assist with the Accounting Department plans that ensure high level organizational effectiveness and communication.
- Prepare meeting minutes as requested.
- Provide support for company issued credit cards to include ordering cards for new users, researching and resolving issues, reporting lost/stolen cards, requesting replacement cards, distributing monthly statements and tracking completed reports.
- Assist with preparing materials for annual audits for SMART and its related entities.
- Assist with preparing materials for DOL LM-2 for SMART.
- Main point of contact/support for Concur expense reporting system and reviews all submitted expense reports for completeness and adherence to current SMART expense policies
- Sorts/distributes department’s mail.
Insurance Liaison
- Review all aspects of the life insurance policies to include invoicing, cash surrender values and death claims.
- Assist with renewal and maintenance SMART corporate insurance package and liaison with insurance agency
Skills
- Strong proofreading skills to ensure accuracy in documentation.
- Proficient in using phone systems with excellent phone and email etiquette.
- Experience with data entry and maintaining organized files.
- Strong administrative skills such as filing and efiling.
- Exceptional organizational abilities to manage multiple tasks effectively.
- Proficient in using Microsoft Software (Outlook, Excel) and Teams.
- Familiar with Concur for expense report review and approvals.
This role requires a proactive individual who can thrive in a fast-paced environment while maintaining high standards of accuracy and professionalism. A 5 MONTH ASSIGNMENT.
Job Type: Temporary
Pay: $50.00 per hour
Expected hours: 40 per week
