Job Description:

This position will serve as an administrative role for the Chief Operating Officer of the company. This position is also responsible for supporting the global operations team with routine tasks and project-based duties. Additionally, this position is responsible for working with our Latin American Licensees, overseeing the set-up of the event registration platform, onsite event registration training, website management, athlete communication via e-mails/social posts, and oversight of onsite awards and World Championship slot allocation. They must work closely with the Latin America licensees’ Athlete Services team, Race Director, Operations team, and Marketing team to ensure a smooth experience for athletes. Independent judgement is required to plan, prioritize, and organize a diversified workload across multiple departments.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


General Responsibilities:

• Manage the calendar, travel, and expense reporting of the Chief Operating Officer.

• Assist Global Operations team with Post-Race Athlete Survey Reporting.

• Assist Global Operations team with ongoing Event related projects.

• Non-recurring project-based assignments and other duties as assigned.


Customer/Athlete Service, Social Media, Website Management and Operational Management – Latin America (LATAM) Region:

• Assist at Latin American events in oversight of all aspects of athlete check-in including packet and bag stuffing and collection/verification of any local federation identification.

• Review and correct all licensed event registration forms in Registration Platform.

• Monitor the licensees’ D365 inbox to ensure the global policies for customer service are adhered to.

• Assist in managing the Athlete Services Coordinators in the Latin American Region

• Keep licensees up to date to enforce WTC rules including withdrawal/transfer policies.

• Assist local Athlete Services team with all informational collateral pertinent to their assigned races (athlete guides, spectator guides, traffic impacts, etc.)

• Work with the Website Content Coordinator and licensee to ensure accuracy on all assigned event pages.

• Work with athlete services and licensee on any Physically Challenged Open/Exhibition Division and Handcycle athletes to ensure their needs are known and met before, during and post-race.

• Assist in overseeing website and social media content is consistent with the event plans.

• Assist licensee in inventory of all department items to ensure each of the shipments received match the order.

• Assist in training of volunteers to aid in check-in process.

• Help develop Athlete Check-in layout in order to maximize efficiency.

• Assist in World Championship slot allocation and roll down including receiving payment for qualifying events.

• Work with licensees to ensure they receive the correct World Championship qualification spreadsheet with passwords, as well as any applicable qualification letters.

• Receive slot allocation distribution spreadsheet and results from Timing.

• Work with licensees to ensure they submit completed slot allocation spreadsheet in a timely manner.

• Assist licensee in actively engaging with athlete communities to deliver exceptional social experiences and build brand reputation.

• Coordinate work with content creators and ambassadors to amplify social media engagement strategies.

• Help monitor and track performance data and KPI trends to optimize content strategy.

• Collaborate with various departments such as: Partnerships, Event Marketing, Digital, Athlete Development, Connected Fitness, Coaching & Training, Digital to develop and assist in implementing custom content and meaningful human interest storytelling campaigns.

• Assist in the creation of social media best practices playbook for LATAM Region.

• Stay up to date with the latest social media trends and best practices to ensure the region stays on the cutting-edge of new digital communication.

• Review licensed event social media pages

• Check in with Regional/Operations/Race Director after core duties are complete about assisting with clean-up/teardown after the event is over.

• Know the emergency action plan in the event of an emergency during the event and assist properly if an emergency does occur.

• Provide professional customer service to athletes and spectators. Answer any athlete/spectator questions asked.

• Wear appropriate work attire and be professional in your work ethics.

• Any other assigned duties by Regional/Operations/Race Director.



Requirements

JOB REQUIREMENTS:

• Bachelor's degree from four year college or university.

• 2 years’ experience in general management, sports management or related industry.

• Success working on a team in a fast-paced environment.

• Ability to learn business facts quickly and execute accordingly.

• Spanish speaker preferred but not required.

• Willingness and ability to travel to selected events (approximately eight to ten events annually) and able to work a flexible schedule, to include weekends and holidays as required.


SKILLS AND KNOWLEDGE:

• Spanish speaker preferred but not required.

• Experience with ticket/registration software preferred.

• Ability to perform as both a strategic thinker and tactical planner.

• Solid analytical abilities, as well as excellent project and people management skills.

• Ability to work in a fast paced and dynamically changing environment.

• Must be flexible, able to handle multiple tasks simultaneously, and work under tight deadlines with meticulous attention to details.

• Detail-oriented and work effectively under pressure while meeting all applicable deadlines.

• Solid writing and verbal communication skills.

• Must be able to work independently and productively with minimum supervision.

• Recognize problems, identify possible causes and resolve routine problems.

• Ability to establish and maintain professional atmosphere for employees, clients and customers

• Strong project management skills and ability to work effectively with a team.

• Computer experience with Spreadsheet Software (Excel); Project Management Software (experience with Microsoft SharePoint a plus); Presentation software (PowerPoint)

• Ability to represent organization in a highly professional and polished manner

• Demonstrates professional ethics and demeanor at all times.
