The James Beard Foundation’s Impact Department helps the independent restaurant industry reach new standards around equity, sustainability, and workplace practices to ensure that all involved in its supply chain can thrive. We look to turn independent restaurant jobs into long and healthy independent restaurant careers; to expand who has access to leadership, visibility, financial stability, and capital; and to use the power of chefs for climate change mitigation. Our mission comes to life through research, training programs, policy advocacy, and harnessing the agency of chefs for change.
The Institute Coordinator is a key support role within the Impact team, who will also work with Marketing & Communications, and Sponsorship departments, as well as external stakeholders and partners. It is one of two Institute coordinator positions.
Reporting to the Institute’s Associate Directors, the Institute Coordinator will assist in planning and executing educational programming ranging from semester-long programs to bi-annual summits, planning virtual and in-person events, supporting program alumni and industry engagement, coordinating the development of resources, managing digital and social deliverables, and supporting external partnerships and communications.
Responsibilities
- Support Institute programs (including Women's Entrepreneurial Leadership, Legacy Network, Financial Literacy Workshop, Activity-Based Costing Tool, Chef Action and WEL summits, workshops, panels, etc.)
- Create application and registration processes for all Institute programs
- Coordinate development of resources
- Supports recruitment of participants in research roundtables, focus groups, and surveys
- Support program alumni and advisory council engagement and communications
- Help execute in-person and virtual events for industry professionals
- Manage travel, hotel accommodations, reimbursements, and other logistics for attendees, presenters, and staff for programs in and outside of NYC
- Assist in budget tracking and invoice processing
- Assist in the development of sponsor and advisory committee materials as well as program wrap reports
- Create and update appropriate Monday boards for programs, webinars, and events
- Schedule and organize team meetings and maintain agendas, notes, action items and Teams spaces.
- Liaise with the Marketing and Communication team on website updates, collateral requests, scheduled emails, digital communication, and other related materials
- Maintain and update directories and databases, including Salesforce
- Ensure implementation of agreed upon team procedures.
- Provide other administrative support as needed.
Requirements
To be effective in this role, key core competencies and personal characteristics include:
2-4 years’ work experience within the hospitality industry

- Demonstrated ability to plan and organize projects and events
- Excellent organizational, communication and interpersonal skills
- Flexible and adaptable style

- Proficiency in MS Office including PowerPoint, Salesforce, and Monday
- Ability to deal effectively with the diversity of individuals at all organizational levels
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
