Summary/Objective

We are seeking a detail-oriented individual to assist our safety team in promoting a culture of safety within our company. The ideal candidate will possess strong organizational and communication skills, a solid understanding of safety regulations, and a commitment to ensuring compliance and fostering a safe working environment for all employees.

 

Essential Functions

  • Provide administrative assistance to the Safety Manager and Safety Team, including scheduling meetings, preparing reports, and managing correspondence
  • Assist in organizing and scheduling safety training sessions for employees
  • Prepare training materials and ensure attendance records are maintained
  • Maintain and organize safety records, including incident reports, training certifications, and compliance documentation
  • Ensure that all records are up-to-date and easily accessible
  • Support the investigation and documentation of safety incidents
  • Help monitor compliance with safety regulations and internal policies by tracking safety inspections and audit results
  • Enter safety-related data into databases and assist in analyzing safety metrics to identify trends and areas for improvement
  • Act as a point of contact for employees regarding safety-related inquiries and facilitate communication between the Safety Department and other teams
  • Assist in managing safety equipment inventory and ensuring that all safety gear is in good condition and properly distributed
  • Participate in safety meetings and initiatives, contributing ideas to foster a culture of safety within the organization
  • Occasional travel
  • Perform other duties and responsibilities as assigned

 

Qualifications

  • 1-2 years of administrative experience, preferably in a construction or safety-related environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and safety management software
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication abilities
  • Ability to manage multiple tasks and prioritize effectively
  • Flexibility to handle changing priorities and work environments
  • Bilingual in English and Spanish preferred
  • Strong knowledge of OSHA regulations, safety standards, and best practices in the construction industry are a plus

Supervisory Responsibility

This position has no supervisory responsibilities.

 

Work Environment

This job operates in a professional office environment and may include occasional visits to construction sites for training and inspections. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

 

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

 

This is largely a sedentary role; however, this position may occasionally require the ability to lift and move up to 25 pounds of paper, files, and/or equipment. This position requires the ability to sit and/or stand for extended periods of time to enter data into multiple systems and conduct face-to-face meetings or interviews.

 

Position Type/Expected Hours of Work

This is a full-time non-union position. The scheduled hours are 40 to 50 hours per week Monday through Friday but may be extended as required to execute the tasks assigned.

 

Travel

This position may require occasional travel.

 

Required Education and Experience

One to two years of administrative experience, preferably in a construction or safety-related environment required.

 

Additional Eligibility Qualifications

  1. Must pass a pre-employment screen, including but not limited to a drug and alcohol screen, background check, motor vehicle records check, reference check and physical (if applicable).
  2. Current and valid driver’s license in the state of permanent residence (must be insurable by Jaynes automobile insurance carrier in order to drive a Jaynes vehicle).
  3. Must be eligible per Fleet Safety Management policy to operate a company vehicle or a personal vehicle for company purposes.
