Academic Advisor

JHU Carey Business School is seeking temporary assistance from a qualified and experienced Academic Advisor. Academic advisors work to provide exemplary service to students, offering support and direction, as they navigate their experience at Carey. Through academic planning and resource connection, academic advisors aim to facilitate student success, retention, and completion, with the ultimate goal of creating self-directed business leaders. This position requires the ability to work a flexible schedule and travel to other campuses as necessary. Will directly interact with the Sr. Associate Director for Programs & Advising, Assistant Director for Advising, Academic Program Directors and other faculty leads as well as other advisors in the Office of Education; staff in other Carey Business School units, particularly the Office of Records & Registration and Student Affairs; current students to provide counsel regarding academic planning, curriculum requirements, personal goals, specialization or elective course selection, and connection to student resources.

This remote position may work up to 19 hours weekly, but at a minimum of 2 hours daily Monday-Friday between the hours of 8:30 AM and 5:00 PM EST. At least 1 hour daily will be spent answering questions in the Advising email box and at least one hour of direct student advising (no less than two 30-minute advising appointments). This position may work up to 19 hours weekly.

Specific Duties & Responsibilities

Academic Advising- Direct Work with Students

  • Help students navigate their academic experience by assisting with proactive academic planning, creative problem solving, and connection to student resources.
  • Conduct individual and group advising sessions via Zoom, via phone, or in-person meetings.
  • Document student meetings and notes in student information database.
  • Help guide students to put together their own academic plan, taking into account their goals and tuition/financial aid needs.
  • Advise students on registration, course selection, academic programs, and elective selection.
  • Provide early interventions identifying and communicating with “at-risk” students identified by faculty or other student-facing departments.
  • With the purpose of facilitating student success and retention, track student progress by running reports, analyzing student data, and communicating with students regarding registration, grades, and graduation.
  • Provide a response within two business days to student e-mails and phone calls.
  • Make available a small number of evenings advising hours if necessary.
  • Assist students with matching career goals and course offerings.
  • Coach students through the grade appeal process, student grievance procedure, and similar processes and requests.
  • Meet with academic probation students and reinstated suspension students to conduct a self-assessment and academic success plan.
  • Communicate with students to promote Carey events, services, clubs, and organizations.
  • Utilize Degree Audit as primary academic planning tool and encourage students to access tool for self-service.
  • Utilize degree audit technology to conduct and approve graduation audits.


Other Duties as needed

  • Participation in regularly scheduled Program/advisor meetings.
  • Establish and work on goals intended to improve the Academic Administration Office and the student experience.
  • Attend major campus events (i.e., graduation, orientation, residencies, student award ceremonies).
  • Make suggestions based on data and student feedback on how to improve Office of Education processes.
  • Maintain good relations with Carey students, faculty and staff, as well as other Johns Hopkins Schools.


Special Knowledge, Skills And Experience

  • Background or educational experience in counseling, social work, student affairs, or higher education strongly preferred.
  • Proactive in terms of seeking information to keep current on changes in procedures, requirements, etc. and developing proposed solutions for challenges encountered
  • Proficiency with databases and spreadsheets.
  • Demonstrated ability to follow-up on issues and be team oriented.
  • Proficiency in microcomputer software applications and other student software tools.
  • Ability to work with a diverse student population.
  • Ability to manage competing priorities.
  • Strong student service skills.
  • Ability to interact in a professional manner with faculty, students, staff and the public.
  • Ability to articulate and market business academic programs.
  • Strong analytical skills.
  • Strong verbal and written communication skills, including ability to draft and prepare original correspondence.
  • Cultural competence; ability to work effectively and collaboratively in multi-cultural environment.


Minimum Qualifications

  • Master's Degree.
  • Three years experience.
  • Additional experience may substitute for advanced education, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications

  • Experience with higher education advising preferred.
  • Knowledge of graduate business curriculum preferred.
  • Experience working with adult students preferred.

Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency

Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
