The Manager of Disability and Leave Services is responsible for overseeing and managing the administration of employee disability and leave of absence programs. This includes ensuring compliance with federal, state, and company policies, supporting employees through various leave processes, and collaborating with HR, management, and external providers to effectively manage and support employees during periods of disability or leave. The role also involves managing a team, developing processes, and reporting on key metrics to enhance program efficiency and effectiveness.
Key Responsibilities
- Disability and Leave Administration:
- Manage and oversee all aspects of short-term and long-term disability programs, including FMLA, ADA, workers' compensation, and other leaves of absence (e.g., parental leave, personal leave).
- Ensure timely and accurate processing of leave requests, disability claims, and accommodations.
- Provide guidance to employees and managers on leave policies, procedures, and required documentation.
- Compliance and Regulatory Requirements:
- Ensure all disability and leave services are compliant with applicable federal, state, and local regulations (e.g., FMLA, ADA, Workers' Compensation, HIPAA).
- Stay updated on changes to relevant laws and regulations and communicate necessary policy updates to staff.
- Maintain accurate and up-to-date records of leave balances, disability claims, and medical documentation.
- Employee and Management Support:
- Serve as the point of contact for employees and management for inquiries related to leave, disability accommodations, and program policies.
- Work closely with HR, department managers, and third-party vendors to coordinate and manage accommodations and return-to-work programs.
- Provide resources and support to employees navigating leave processes, including return-to-work plans and workplace accommodations.
- Team Management and Development:
- Lead, train, and develop a team of leave and disability specialists, ensuring high levels of customer service, efficiency, and compliance.
- Develop and monitor team performance metrics, providing feedback and guidance to enhance team effectiveness.
- Reporting and Analysis:
- Collect and analyze data related to disability and leave programs, generating reports and recommendations for continuous improvement.
- Track key performance indicators (KPIs), including claims duration, return-to-work timelines, and leave trends, to identify opportunities for process improvement.
- Process Improvement and Strategic Initiatives:
- Evaluate current disability and leave services and recommend enhancements to streamline processes, reduce costs, and improve the employee experience.
- Partner with HR, benefits, and other departments to implement process improvements and optimize the leave and disability management program.
- Vendor and External Provider Management:
- Manage relationships with third-party leave administrators, insurance carriers, and vendors.
- Oversee the coordination of claims, reporting, and dispute resolution with external providers to ensure smooth service delivery.
- Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related field.
- 5 years of experience in disability and leave administration, with at least 2 years in a managerial role.
- In-depth knowledge of federal and state leave laws and disability regulations (e.g., FMLA, ADA, Workers’ Compensation, STD/LTD).
- Experience managing complex disability and leave cases, including accommodations and return-to-work processes.
- Strong organizational, communication, and interpersonal skills.
- Ability to manage sensitive information and maintain confidentiality.
- Proficient in HRIS systems and Microsoft Office Suite (Excel, Word, PowerPoint).
- Certification in disability and leave management (e.g., Certified Leave Management Specialist (CLMS), Certified Disability Management Specialist (CDMS)).
- Experience with leave management software and claim tracking systems.
- Knowledge of employee benefits, including health and wellness programs, related to leave management.
