Answers all incoming calls through a multi-line call directory, takes and relays messages, answers question and directs calls to the appropriate person.
Greets clients, visitors and partners, determines their needs, and directs them to the appropriate person / waiting area / room.
Handles client and partner meeting reservations, via Microsoft Excel, Outlook, and Teams for approximately 20 Northern Trust employees.
Performs other duties specific to the individual business area.
Qualifications (must haves) :
One to three years prior experience in an office receptionist / administrative assistant position. Experience in banking, lending or trust is preferred but not required.
Proficient in Microsoft office programs including Word, PowerPoint, and Excel.
Proficient in Microsoft Outlook preferred but not required.
Ability to operate a multi-line call directory system

Tasks & Responsibilities :
Greets clients and partners conducting business with their assigned area and directs them to the appropriate person. Interacts continuously with all clients.
Maintain daily events electronically through Microsoft Excel, Outlook, and Teams.
Maintenance of multiple meeting rooms to include, as needed, set up and tear down of daily beverage service station.
o Must be able to lift full carafes of water and coffee onto a hand cart and pushcart containing several of these items to the various meeting rooms.
Maintenance of Reception area to keep it clean and neat
Assisting with special projects as assigned by manager.
Issuing of visitor passes and parking validation
Handles incoming mail and packages for the bank including sorting, researching, and emailing partners.
Performs various administrative duties such as preparing documents or reports.
