The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $21.23 to $24.00.

This position is non-exempt under the FLSA.

About the Position

The Court Administration Assistant Senior supports the Civil Department by providing a wide variety of specialized support on highly responsible assignments that require broad and advanced knowledge of the justice system. The ability to work independently and utilize critical thinking to select and apply the proper established policies and procedures while solving a wide variety of complex issues is paramount to success in this role.

Standard Judicial Branch business hours are Monday through Friday from 8 am to 5 pm. This position may allow for a teleworking schedule up to 5 days per pay period (every 2 weeks) dependent on the needs of the Judicial Branch following a probationary period of six months.

Position Qualifications

Education :

  • High school Diploma or GED

Experience :

  • Three (3) years of progressively responsible legal, court, justice system or administrative support related experience
  • Combined education and experience qualifications :

  • Post-secondary education may substitute for the required experience on a year for year basis.

    Knowledge of :

  • Court policies and procedures, legal terminology, office procedures and practices, and the legal requirements for processing court documents
  • Customer service standards and procedures
  • The following programs and equipment : MS Outlook, Word, Excel, iCIS, OnBase, eFile, multi-telephone system, facsimile, and copy machine
  • Skill in :

  • Verbal and written communication
  • Creating, composing, and editing written materials
  • Use of personal computers and related software applications
  • Ability to :

  • Expeditiously and accurately follow brief written and oral instructions
  • Coordinate and prioritize work activities for self and others
  • Essential Job Tasks

  • Manages arbitration cases, including : assigning arbitration cases to arbitrators; reviewing attorney arbitrator appointments; ensuring attorney information is kept up to date; overseeing the appointment of 62% of the Civil Department caseload to arbitration; and receiving, sorting, and processing legal documents related to arbitration and other Civil / Tax / LCA court cases
  • Reviews documents for sufficiency of information, conformity, jurisdiction, completeness, timeliness, and all required supporting documentation
  • Enters into and retrieves data from automated case management tracking system; assigns applicable codes; cross references documents for future retrieval; accesses documents by using various indices; follows established procedures for updating and purging records
  • Files and retrieves legal documents and related case materials; maintains the order of documents; purges documents; assembles documents, identifies and organizes documents for transfer to the archives; retrieves records from archives
  • Manages assignment and processing of Online Dispute Resolution (ODR) cases. Retrieves and maintains documents and mailings for ODR cases
  • Types and prepares a variety of material such as notices, letters, and other legal documents into finished form; composes letters in response to requests for general information; checks for completeness prior to sending cases to judicial officers.
  • Cross-trains in Lower Court Appeals (LCA) cases to perform all necessary processing of LCA cases
  • Ensures the optimal functioning of new projects to ensure the highest level of customer service is provided
  • Explains legal filing procedures both at the counter and over the telephone; schedules hearings; assists the general public, law enforcement agents, attorneys and their staff, and other employees with locating information, documents, and other related materials
  • Processes reports to ensure cases are being managed and caseflow management meets established statutory and rule timelines, including Cal-Actis and other caseflow management reports.
  • Answers complex process questions from judicial officers and staff.
  • Cross-trains in judicial assistant duties to provide emergency coverage if needed.
  • Working conditions :

    May be required, as directed by Civil Court Administration or Civil Judicial Assistant Trainer based on the needs of the department, to cover as a courtroom assistant / judicial assistant for terms of varied duration at any Superior Court location (Downtown, Southeast Regional - Mesa, and Northeast Regional - North Phoenix).

    While performing the duties of this job, the employee may need to communicate clearly, perceive details of objects that are close by, and maintain various physical positions for extended periods, such as sitting, standing, or walking. The job may involve using hands for tasks such as typing, handling objects, or operating tools, as well as reaching with hands and arms. Occasionally, the employee may be required to move or lift objects weighing up to 20 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform these functions.

    Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.

    The Judicial Branch of Arizona in Maricopa County participates in the State Retirement systems ASRS or PSPRS. As such, mandatory membership for all full-time employees includes payroll deducted contributions consistent with each retirement system's requirements. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan.     Judicial Branch facilities are located throughout Maricopa County. This position may be reassigned to other locations. Assignments will be made based upon the needs of the department.
