The Executive Assistant is the heart of our operations, ensuring a smooth and welcoming experience for employees, visitors, and clients alike. This role combines a keen eye for detail with outstanding interpersonal and organizational skills to manage the physical workspace, front desk, executive calendars, events, and the all-important first impression our business makes.
Responsibilities
- Facilities Management: Oversee the maintenance and upkeep of office spaces, ensuring a clean, safe, and functional environment.
- Coordinate with vendors for cleaning, repairs, and supplies.
- Manage office space allocation and reconfigurations.
- Oversee security systems and procedures, including communication with Contractor Nation for building security.
- Manage office equipment and supplies inventory.
- Point of contact for the cleaning company, communicating closures and issues.
- Serve as Safety Leader to ensure safety protocols are up to date and communicated to the HQ team.
- Front Desk Operations: Handle incoming calls and mail distribution, including daily scanning and FedExing of NA checks.
- Executive Scheduling: Manage complex calendars for the executive team, ensuring efficient time management and minimal conflicts.
- Schedule meetings, appointments, and travel arrangements, including booking flights, transportation, and hotel rooms.
- Serve as the face of the company, creating a positive first impression for everyone who walks through the door.
- Plan and execute office events and activities, including monthly "Culture Club" activities and coordinating office luncheons and functions.
- Assist with internal communications and announcements, including managing home office birthdays with monthly emails and celebrations.
Qualifications
- Bachelor's degree or equivalent experience
- Proven experience in office management, facilities management, or a related field
- Strong leadership and interpersonal skills
- Excellent organizational and time management skills
- Proficiency in Microsoft Office Suite or similar software
- Excellent communication and customer service skills
- Ability to multitask and prioritize effectively
- A proactive and solution-oriented approach
Salary : $60,000
