The HR & Finance Specialist is a key member of The Just One Project's Finance team, reporting to the Finance Manager and Director of People & Culture. This dual-role position requires a highly motivated and creative individual with a proven track record of success in accounting, payroll, HR, and administrative responsibilities. Responsibilities
Accounting:
- Enter accounting-related information (e.g., Accounts Payable, Bills, Expenses, etc.).
- Inspect account books for efficiency and accuracy.
- Organize and update financial records.
- Recommend ways to reduce costs and enhance revenue.
- Assist with monthly bank reconciliations and financial reporting.
- Provide financial documentation for audits and grant reimbursements.
- Ensure compliance with accounting principles and internal controls.
- Collect and verify timesheets for accuracy.
- Calculate employee work hours, benefits, and deductions.
- Ensure tax compliance with federal, state, and local regulations.
- Process new employees, promotions, and terminations in payroll systems.
- Prepare payroll files and backups for grant reimbursements.
- Handle payroll discrepancies, working with employees to resolve issues.
- Maintain and update employee payroll records and other related information.
- Ensure timely and accurate payroll processing for all employees.
- Assist with benefits administration, including enrollment and changes.
- Conduct interviews, screen resumes, and make hiring recommendations.
- Assist with the onboarding process, ensuring a smooth transition for new hires by preparing and guiding them through all necessary paperwork, systems access, and training schedules.
- Assist Facilitate orientation sessions to introduce new hires to company culture, values, and policies.
- Ensure timely completion of all onboarding documentation, including tax forms, direct deposit, and benefits enrollment.
- Maintain accurate records of new hire documentation and ensure compliance with legal requirements.
- Act as a resource for new hires throughout the onboarding process to answer any questions or concerns.
- Support the development and updating of onboarding materials, ensuring they are aligned with company policies and culture.
- Assist with employee inquiries through the ticketing system.
- Assist the Director of People & Culture with HR-related projects and duties.
- Serve as a point of contact for employees regarding HR-related matters.
- Provide guidance and support to managers on employee relations matters.
- Any other job duties as assigned.
- Bachelor's Degree in Business Administration, Accounting, Finance, Human Resources, or a related field.
- 2-3 years of experience in HR, including recruitment, onboarding, employee relations, and compliance.
- 2-3 years of experience in Accounting and Finance functions, including payroll, accounts payable/receivable, bank reconciliations, and financial record management.
- Experience working in a nonprofit environment is highly valuable, demonstrating an understanding of the unique challenges and opportunities within the sector.

- Proficient in QuickBooks Online or similar accounting software.
- Strong knowledge of payroll processing, including tax compliance and deductions.
- Experience with HRIS systems and employee record management.
- Excellent use of Microsoft Office Suite (Word, Excel, and Outlook); highly skilled in creating and managing spreadsheets.
- Strong understanding of HR practices, including recruiting, onboarding, and employee relations.
- Ability to interpret and apply accounting principles and financial data.
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Discretion and confidentiality when handling sensitive employee and financial information.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a fast-paced, dynamic environment.
- Must attend six mandatory Pop Up & Give events per year
- Must possess valid driver's license and reliable transportation
- Ability to sit, use hands and fingers, talk or hear continually.
- Ability to stand, walk, reach, push, pull regularly and for extended periods of time.
- Ability to climb or balance, stoop, kneel, or crouch regularly.
- Must be able to lift, push, pull, etc. efficiently and on a regular basis.
- Ability to work in fast paced active environment
- Ability to lift and carry up to 50 lbs
- Frequently exposed to various controlled and uncontrolled weather conditions
