Mission: Providing financial and relational resources to ministry partners operating in Southeastern Wisconsin who serve those in need while modeling and sharing the gospel message.
The Kaztex Companies is a family office located in Pewaukee, WI. Our business encompasses three main activities: investing in private assets, managing public securities, and operating a private charitable foundation focused on the community of southeastern Wisconsin. Our guiding values are faith, family, generosity, integrity, and creativity. Our private investments focus on real estate and Wisconsin-based operating businesses and our public securities portfolios are actively managed in-house. These activities allow us the privilege of partnering with non-profit organizations, both financially and strategically, through The Kaztex Foundation. Summary: Associate of all administrative matters supporting The Kaztex Companies’ charitable, financial, and general office activities. Candidate will thrive in a professional family-office environment while engaging and supporting all members of the team. The role is part-time (20 hours), and can offer some flexibility within standard business hours.
Reports to: VP Operations and Finance
Primary Duties:
1. Charitable Administration
- Manage general correspondence with charitable partners, communicating issues and needs to team members as appropriate.
- Administrate all correspondence and record keeping for the fall grant-making cycle, including light bookkeeping duties;
- Maintain non-profit partner records (physical and electronic), contact information and board member binders.
- Coordinate logistics related to Kaztex staff attendance at various events.
2. Accounting of Corporate Books
- Administration of public securities trading activities.
- Maintain accurate accounting records, reconcile accounts regularly, monitor cash balances,
- Utilize cloud-based accounting systems Xero and Buildium to enhance financial reporting amongst team members.
- Provide ad hoc financial support to leadership members upon request.
- Monitor inventory purchases and costs for ecommerce entities, including regular audits to ensure accuracy.
3. General Office Administration
- Be a positive & inviting first point of contact for office visitors and phone callers, office hospitality as needed.
- Perform administrative tasks related to, but not limited to, the distribution and handling of mail, office organization and efficiency, ordering office and kitchen supplies, and coordinating office events.
- Monitor and maintain office equipment.
- Oversee corporate records and assist officers with compliance matters.
- Provide ad hoc administrative support, and written communication including the rough draft of corporate minutes.
Ideal candidates will bring a passion for supporting The Kaztex Foundation’s mission and experience in providing administration for a small office environment. Candidate will bring warmth and enthusiasm to the role and a commitment to resourcefulness, learning, problem solving, and adapting to new technology. Candidate must enjoy working with numbers and excel spreadsheets. Candidate must demonstrate effective verbal and written communication skills with exceptional attention to details. Due to our small office environment, the role requires a self-starting and self-motivated individual who will exercise independent judgement to plan, prioritize, and organize a diversified workload. The candidate must have an easy-going nature with a heart for listening and establishing friendly and sincere connections with a variety of individuals.
This role requires familiarity with standard office equipment and technology, as well as computer software/apps including Microsoft Excel, Word, PowerPoint, Xero, and Buildium.
