General Description:
Under the supervision of the Director of Operations, the Mail & Property Coordinator is responsible for conducting the day-to-day activities related to mail services, including processing all incoming and outgoing mail and packages for the complex, including sorting, documenting, distributing and returning as needed. This individual will also review all incoming commissary deliveries, coordinate file archiving and manage the resident property rooms.
Job Requirements: (includes but may not be limited to)
- Daily (Monday-Friday) sort mail for all buildings using the facility population sheet and deliver mail to each control booth.
- Daily (Monday to Friday) sort packages for all buildings using the facility population sheet and deliver packages to each control booth.
- Log all packages delivered to each control booth on the package form and have signed by the manager upon delivery.
- Pick Up outgoing mail from each buildings outgoing mailbox and place in the Postal Bin in Building 3 to be picked up by Post Office. Stamp any mail that needs to be stamped.
- Sort RTS Mail and Log.
- Sort mail that needs to be forwarded and complete mail forwarding as needed.
- Manage mail that needs to be returned to sender
- Communicate with USPS and other delivery companies as needed
- On delivery days, inventory commissary and sort by buildings
- Review missing commissary orders/missing items
- Assist to process any requests regarding missing mail/packages
- Assist with managing resident property room.
- Coordinates file archives for all programs.
- Participating in meetings and staff development sessions as required.
- Performing other duties as assigned by the Director of Operations/other site management.
Qualifications/Requirements:
- Minimum of one year of satisfactory performance in a paid administrative support position
- Excellent oral and written communication skills
Knowledge:
Modern office principles and protocol
Copiers, scanners, fax machines
Abilities & Goals:
- Manage time and prioritize activities
- Give attention to detail and follow-through
- Establish and maintain positive working relationships with co-workers
- Be flexible to meet unexpected job related schedules
- Meet the clearance requirements of contracting agency
- Execute all duties of this position with minimal supervision

Education Requirement:
High School Diploma (or equivalent) with advanced office training preferred
