Job Summary:
The responsibilities of a Data Entry Officer include data entry for courses, course and student paperwork processing, apprenticeship work processes, and training certifications. A Data Entry Officer provides services to our customers, Apprenticeship Coordinators, and affiliates. This job's ability to accurately maintain and process student records is critical.
Responsibilities and Duties:
Update check-in applicants and inquiries
Indenture with state and US Department of Labor
Maintains database by entering new and updated customer and account information
Prepares source data for computer entry by compiling and sorting information
Establishes entry priorities
Processes customer and account source documents by reviewing data for deficiencies
Maintains student and apprentices' confidence and protects operations by keeping information confidential
Assist members, students, contractors, and affiliates via phone or in person (lobby)
Process applications and mail confirmation letters
Distribute daily mail
Process monthly apprentice work processes, check stubs, excuse letters, and apprentice mailers
Process and mail student ID cards and certificates
Process Laborers Training School scheduled courses and grant classes
Process public works award information (DAS 140 and DAS 142)
Process non-signatory dispatch requests
Apprenticeship processing; entry assessment, scheduling school, job referrals, preparing and processing subcommittee, taking meeting minutes
Handling and processing “mail-outs”; graduation, alumni dinners, skills days, newsletters, bi-annual affiliate letter, etc.
Place orders for supplies and materials
Filing and document storage
Document control and archiving
Provide reports to coordinators, affiliates, and executive director as needed
Qualifications:
Requirements: Must be 18 years of age, bi-lingual, a US citizen, or have a work permit. Candidates are subject to a background check and drug test.
Education Required: Minimum of High School diploma, GED or equivalent
Experience: Minimum of 2 years of office work, customer service, and data entry
Licenses and Certifications: A current and active California driver’s license required
Special Knowledge, Skills and Abilities (KSA):
Candidate must have good oral and written skills, good communication
Must be proficient with Microsoft Office, access database, alpha, accounting programs are encouraged
10-key is required, and data entry must be at least 40-45 wpm
Work well in a team environment while possessing the skill set to work independently
Must be well organized, able to multi-task, think quickly, and have problem-solving skills
Work well under pressure in a fast-paced environment with little supervision
High attention to detail and accuracy; prioritization is required
Contact with Others
Daily interaction with office personnel, instructors, Apprenticeship coordinators, contractors, local unions, affiliates, and state and federal agencies
Physical Requirements:
Occasionally required to sit, stand, walk, reach with arms and hands, lift up to 20-25 pounds, stoop, kneel, or crouch
