Position: Reservationist
Reports to: Reservations Manager
Job Summary: As the first point of contact for our guests, you will be responsible for the selling the hotel and booking the optimal accommodations for our guest’s visit and throughout their stay. This will require you to be extremely knowledgeable of our property and the products we offer including our restaurants, Rose Tavern and The Sand Bar, The Spa, activities on and off campus, events happening nearby, and local attractions. From the business traveler to the traveling family, you will manage all aspects of their stay. If guests have not already made reservations for hotel services, you will be able to provide such reservations along with forwarding in-room meal requests.
Being a partner of Preferred Hotel & Resorts, LVX Collection, we have a high level of standards that must be adhered to each day. Detailed training will be included during onboarding and continuous training will be provided to maintain knowledge of such standards.
Essential Functions:
- Consistently offer professional, friendly and engaging service.
- Provide accurate and thorough information on the Lake House’s accommodations, packages, promotions, services, and amenities.
- Book and enter room reservation requests using booking system.
- Assist guests with planning and booking hotel, restaurant, package and special event reservations.
- Assign specific accommodations based upon feature and/or location requests.
- Transfer calls and respond to guests’ inquiries. Recommend local attractions and places of interest.
- Have knowledge about the area and be prepared to offer advice when necessary.
- Process payments and send the details and confirmation to the guest.
- Ensure revenue is maximized by up-selling guest rooms and recommending hotel facilities.
- Update reservations ensuring a flawless check-in and check-out process.
- Answer telephone and email inquiries in a timely manner.
- Provide support to guests who have already made a travel purchase by confirming, changing or canceling reservations.
- Assist guests with payment and credit card charges questions.
- Assist guests regarding hotel facilities in an informative and helpful way.
- Assists the Front Office Manager in the daily operations of the front desk when needed (check-in, check-out, room moves, guest requests, and other Front Desk responsibilities).
- Fully comprehend and be able to operate all relevant aspects of the hotel reservations system.
- Responsible for keeping accurate records about bookings, payments, and any additional information that hotel staff might need when interacting with a guest.
- Additional tasks may be assigned by your supervisor when necessary.
