Job Title : Client Services Coordinator

Position Type : Full-Time

Overview : We are seeking a dedicated and detail-oriented Client Services Coordinator to join our law firm. This role is integral to ensuring a seamless client experience by managing systems, processes, and the overall client journey. The ideal candidate will act as the consistent voice for our clients, overseeing their progression and ensuring they feel supported throughout their interaction with our firm. This position also involves a significant role in reception duties, lead management, and marketing initiatives, including webinars.

Key Responsibilities :

Systems and Processes :

  • Develop, implement, and maintain efficient systems and processes to streamline client services.
  • Automate routine tasks to enhance productivity.
  • Document all processes to ensure consistency and clarity.

Reception :

  • Answer incoming calls and emails, providing excellent customer service.
  • Schedule and confirm appointments.
  • Address non-legal client inquiries and direct legal questions to appropriate staff.
  • Lead Management :

  • Manage and track prospective client leads.
  • Follow up with leads to encourage conversion to clients.
  • Provide regular reports on lead status and conversion rates.
  • Client Journey Audit :

  • Regularly review and audit the client journey to identify areas for improvement.
  • Ensure clients receive consistent communication and support throughout their case.
  • Client Supervisor :

  • Act as the primary point of contact for clients, ensuring they feel heard and valued.
  • Oversee the big picture and progress of each client's case, coordinating with other team members as needed.
  • Marketing :

  • Assist with marketing initiatives, including the planning and execution of webinars.
  • Support social media content creation and other marketing efforts.
  • Qualifications :

  • Proficiency in Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Ability to pass a background check.
  • Professional appearance and demeanor.
  • Reliable transportation for occasional travel if required.
  • Ability to work independently and as part of a team.
  • Preferred Qualifications :

  • Previous experience in a legal setting is a plus but not required.
  • Experience with automation tools and client relationship management (CRM) software.
  • Compensation : Starting rate at $25 per hour, may be higher depending on experience
