Who You Are:
We are seeking a Legal Receptionist and Intake Coordinator to manage our front desk operations and oversee the intake process for potential clients at our law firm. This dual-role position combines administrative support with intake coordination to ensure a seamless client experience.
As the first point of contact for potential and current clients, you will play a vital role in creating a welcoming and professional atmosphere, whether through phone or in-person interactions. You will handle sensitive casework, requiring strong communication skills and the ability to navigate emotional conversations with empathy and discretion. Success in this role means balancing multiple priorities, maintaining composure under pressure, and recognizing the importance of client confidentiality.

Key Responsibilities:
Reception Duties:
- Answering and routing incoming calls professionally.
- Greeting clients and managing in-person interactions.
- Scheduling and calendaring appointments.
- Taking accurate messages and ensuring timely follow-up.
- Performing other administrative tasks as needed.
Intake Coordinator Duties:
- Following up with potential clients who submit inquiries through online platforms.
- Generating and nurturing leads through proactive communication and follow-up.
- Sending initial documents, including contracts and intake forms, to potential clients.
- Managing and updating the client relationship management (CRM) system to ensure accurate records.
- Collaborating with legal staff to facilitate a smooth transition from intake to case management.
Education & Experience:
- Minimum of 2 years of experience in a receptionist, legal assistant, or similar role required.
- Experience in intake coordination or client relationship management preferred.
- Associate’s Degree in a relevant field preferred; equivalent experience may substitute for formal education.
Skills & Qualifications:
- Strong written and verbal communication skills.
- Proficiency in managing emotional and sensitive conversations with professionalism and empathy.
- Excellent organizational skills and attention to detail.
- Ability to multitask and perform well under pressure.
- Familiarity with CRM software or ability to quickly learn new systems.
- Commitment to client confidentiality and discretion.
Working conditions:
The majority of your work will be performed at our office in Clarksville, Tennessee. Working hours are 9:00am-5:00pm, Monday-Friday. In general, we observe the same holidays as the local courts, so you can expect to have most federal holidays off.
