Sales Coordinator

JOB SUMMARY:

The Sales Coordinator and Administrator liaises with and takes direction from the General Manager regarding Group and Catering Sales operations to achieve customer satisfaction and meet/exceed sales, revenue and profit objectives.  This hybrid position, meaning sales and client relations are a priority to achieve financial goals. The position also supports the General Manager in the administrative needs relating to Group and Catering Sales. Individuals in this role must have experience in short and long-term planning and day-to-day functions of group and catering sales in a hotel environment. Assists the General Manager in the preparation of marketing, advertising, sales plans, programs and annual budget; operates within approve budgets.  This position is based out of the Legacy Resort Hotel and Spa in San Diego, CA.  Must maintain confidentially and be able to work the assigned schedule.

 

PRIMARY RESPONSIBILITIES:

  • Works in conjunction with the General Manager to develop and achieve short and long-term planning and day-to-day sales and marketing goals. Assists the General Manager in the preparation, implementing, monitoring and controlling the room and meeting room sales, forecasting, marketing plans/programs, advertising, and annual budget.  Analyzes competition, market trends, customer needs and comments; prepares and reviews forecasts, period and month-end reports and various sales and rate reports to continually assess the sales productivity against the budget, plan and marketplace.
  • Solicits, negotiates and books new and repeat business through various sales marketing efforts (outside sales calls, telemarketing, internet websites, mailings, referrals, property tours, networking etc.); maximizes room revenue to meet/exceed goals.
  • Develops and continually enhances relationships with key corporate, business and travel industry accounts, community organizations and professional associations to maintain high visibility and increase market share.
  • Acts as liaison with other departments at the Legacy Campus.
  • Attends meetings to provide information in a timely manner and ensure group and catering needs are carried out as contracted.
  • Enhances and continually develops relationships with key corporate, business and travel industry accounts, community organizations and professional associations to maintain high visibility and increase our market share. 
  • Trains hotel staff on how to recognize and capitalize on all sales opportunities to increase hotel occupancy and revenue.  
  • Analyzes Banquet Event Orders, communicates effectively with customers, managers and associates to ensure that all room set-ups, equipment, supplies staffing and menus meet/exceed customer’s expectations.
  • Reviews all schedules, equipment, supplies and organizes workflow to ensure a quality event for our customers and a daily basis. 
  • Participates in trade shows and community and professional organizations to maintain high visibility.
  • Demonstrates a working knowledge of all hotel safety and security procedures as required, maintaining a secure and safe environment for employees as well as guests.
  • Participates in hotel committees, Manager on Duty (MOD) program and task force assignments.
  • Reports unusual occurrences and/or requests to the General Manager.
  • And other duties as assigned.

 

ADDITIONAL RESPONSIBILITIES:

Our hotel’s primary goal is to provide hospitality and exceed guest expectations for levels of service, quality, consistency and attention to detail — all team members are evaluated against this standard.  A hotel operates 365 days a year, 24 hours a day.  During the course of your scheduled shift, you may be asked to assist in areas of the hotel outside of your typical work areas.

 

QUALIFICATIONS:

  • A four-year college degree or equivalent work experience.
  • Three to four years of employment in a related position.
  • First Aid, CPR and defibrillator certifications preferred.

 

COMPETENCIES:

  • Requires advance knowledge of the principles and practices within the sales/marketing, catering, Food and Beverage, and hospitality professions.  This includes experiential knowledge required for management of people, complex problems and efficient sales activities.
  • Must possess highly developed communication skills to frequently negotiate, convince, sell and influence other managerial personnel, hotel guest(s) and/or corporate clients.
  • Requires ability to investigate and analyze current activities and/or information involving readily available data and indicating logical conclusions and recommendations.
  • Strong computer knowledge and skills related to MS Office Programs.

 

HOURS OF WORK:  
Office hours are Monday through Friday, 7:00am to 4:00pm.  However, a flexible schedule, which may include nights, weekends and holidays are required to adjust to the changing needs of business operations.

 

TRAVEL:

Required due to outside sales calls, meetings, social events, etc.  Automobile is most frequently used.

WORK ENVIRONMENT:

This job operates on a large campus with multi-story buildings and uneven outdoor areas (e.g., steps, ramps, and gardens) that are open to the elements and changing weather conditions. This position requires regular interaction with staff and members of the public and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Noise levels will occasionally be high due to equipment, movies, musical and theatrical performances, and other factors.  

 

PHYSICAL AND MENTAL DEMANDS:

  • This position requires the ability to navigate throughout a large campus with indoor and outdoor work and event spaces.
  • 100% mobility required to quickly reach all areas of the campus.  Constantly moving schedule-including greeting guests, appointments, on and off property events.
  • Regularly required to use hands to finger, handle or feel, reach with hands and arms and talk or hear.
  • Regularly lift and/or move objects 35 lbs.; occasionally team lift and/or move objects that weigh more than 35 lbs.
  • Must be able to pull, push stand, sit, stoop, bend, reach, and move or carry equipment
  • Must be able to stand for extended periods of time.
  • Requires excellent hearing and vocal abilities
  • Specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus.
  • Must be able to fulfill all travel requirements, including transporting luggage and other materials as well as utilizing any means of transportation required (e.g., vehicle, train, plane, etc.).
