The Life Center of Davidson County is seeking a highly organized Office Manager to oversee the daily operations of our front desk and ensure our office runs smoothly and efficiently. The ideal candidate will be a strong multitasker with excellent communication skills and a positive, problem-solving attitude. This new role is vital in supporting staff, managing administrative tasks, and maintaining a productive, well-organized work environment.

Qualifications: Excellent interpersonal skills with a compassionate, patient-centered approach. Strong organizational and multitasking abilities. Proficiency in office software, Microsoft Office Suite, billing software, etc. Basic understanding of healthcare compliance, billing, and record keeping. Ability to handle sensitive information with discretion and empathy. Associate or bachelor’s degree in business administration, healthcare administration, human services, or equivalent. Be able to successfully complete written and physical portions of CPR/First Aid Certification. Must be able to read and write legibly and to operate office equipment-computer, fax, copier, calculator, etc. Demonstrate the capabilities necessary to lead activities in front of a group. Must present a written medical statement, completed within the prior 12 months by a physician, nurse practitioner or physician’s assistant, certifying that the employee has no illness or health condition that would pose a health risk to others and the employee can perform the duties assigned in the job. Must provide at least 3 reference letters or the names of individuals with whom a reference interview can be conducted, including at least one former employer. The individuals providing reference information shall have knowledge of the applicant’s background and qualifications. Statewide criminal background checks for all new hires will be conducted. The statewide criminal background checks will go back a minimum of 5 years and are completed by an approved agency of the Administrative Offices of the Courts.

Responsibilities:

· Oversee and manage front-desk operations, including answering phones, handling inquires, greeting participants, caregivers, and visitors.

· Oversee the receipt, sorting, and distribution of incoming mail and packages.

· Ensure outgoing mail is prepared, tracked and sent in a timely and organized manner.

· Manage the acknowledgment of donations by promptly sending personalized thank you notes, ensuring donors feel appreciated and valued.

· Track incoming donations, maintain accurate donor records, and collaborate with leadership to support ongoing fundraising efforts.

· Support leadership in maintaining compliance with grant guidelines and documenting program outcomes to fulfill reporting obligations.

· Serve as a key point of contact for families, staff, and outside vendors to ensure clear, compassionate, and efficient communication.

· Notify Healthcare Coordinator verbally and/or in writing of any incidents or problems for documentation in the participant’s file.

· Always exhibit responsibility for safety and well-being of all participants. Will serve as “watch person” for main entrance/exit.

· Maintain accurate records for participants, ensuring compliance with all state regulations and privacy laws (HIPAA).

· Assist with billing processes, including receiving and tracking payments and updating all spreadsheets and databases.

· Ensure the center remains clean, organized, and stocked with necessary supplies while coordinating maintenance and repairs.

· Help organize special activities, celebrations, and events for the center.

· Assist in financial duties such as making deposits, AR invoicing, AP checks, payroll, and all required reports.

· Prepare, type, and write forms as necessary and need requires.

· Responsible for coordinating participant’s transportation and receiving rates.

· Responsible for calling and documenting absences.

· May contact board or committee members to remind them of meetings.

· Distribute incoming faxes to appropriate employees.

· Create and type reports, charts, newsletters, flyers, etc.

· May be asked to serve as group leader in a small group or in an individual activity with participants.

· Responsible for reporting to work on time as scheduled each day.

· Will assist Healthcare staff in daily attendance sheets, activity and menu calendars, and any other necessary tasks.

· Responsible for other duties as assigned.

*May be required to provide direct care to participants; may have accidental exposure to blood and other pathogens.

Job Type: Full-time

Pay: $25.00 - $30.00 per hour

Expected hours: 40 per week
