The Lighting Group, LLC is one of the largest independent lighting and lighting control sales agencies in the Western United States. We represent a diverse group of lighting, transportation, sports lighting and lighting controls manufacturers. We recognize that before and after sale, top-tier service and support is paramount to the positive outcome of projects and the success of our stakeholders. We provide these services to manufacturers, the design community, developers, municipalities, utilities, school districts, state & local governments, contractors and distributors: sales & marketing, local and factory training, product selection assistance, product demonstration & mock-ups, quotations, design build/ design assist services and construction administration & project management.
We are looking for a talented and experienced full-time Project Assistant who is responsible for creating, coordinating, and managing lighting submittals for various projects as well as assisting the Project Managers with miscellaneous tasks.
RESPONSIBILITIES
- Develop comprehensive lighting submittal packages, including product data sheets, installation instructions, warranty information and compliance documentation.
- Ensure all submittals meet project specifications and client requirements.
- Coordinate with project managers, lighting designers, architects, engineers, and suppliers to gather necessary information for submittals.
- Review and verify accuracy and completeness of all submittal documents.
- Proactively follow up on the status of customer purchase orders, entering ship dates and tracking information into the Agile order system.
- Assist Project Managers with compiling lead times and shipping schedules and entering into Smartsheet.
- Process customer return requests and claims.
- Back up phones when receptionist is out.
- Miscellaneous other tasks to assist Project Managers.
QUALIFICATIONS
- Applied experience with computer software, i.e. Microsoft Outlook, Word, Excel, Teams.
- Experience in using Parspec preferred.
- Experience in Smartsheet preferred.
- Excellent organizational, communication, and interpersonal skills.
- Ability to work independently and manage multiple projects simultaneously.
- Detail-oriented with strong analytical and problem-solving skills.
- Lighting experience a plus.
