Job Summary:
We are seeking a detail-oriented and self motivated Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support with minimal supervision to support the efficient operation and growth of our program. This role involves a range of administrative duties, people support.
This position is a flexible schedule that would allow for partial remote work requiring 2 or 3 in-person office days a week.
Key Responsibilities:
- Communication: Serve as the primary point of contact by email for volunteers, students, and others, providing information and assistance as needed.
- Documentation: Maintain accurate and organized records, files, and databases, including donor, volunteer, and student information.
- Data Entry: Input and update data in CRM (Customer Relationship Manager) system and spreadsheets, ensuring accuracy and confidentiality.
- Event Support: Assist in the planning and execution of occasional events, including fundraising activities, volunteer training sessions, and literacy workshops.
- Support Services: Provide administrative support to the executive team, volunteers and students as needed.
- Office Space Management: light office upkeep such as managing supplies, and organizing materials.
- Scheduling: Coordinate and schedule meetings, appointments, and events for staff and volunteers.
- Confidentiality: confidentiality is a requirement for this position. All student data is confidential.
Qualifications:
Education:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
Experience:
- Office experience preferred, but willing to train.
Skills:
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Google applications (Docs, Sheets, Slides, Drive), ability to learn new programs as needed.
- Ability to work independently and as part of a team.
- Detail-oriented with a high level of accuracy.
- A proactive tendency towards problem-solving and improving systems.
- Social media posting skills and knowledge is desirable.
