Position Responsibilities:
- Creates a warm, inviting, and calm Front Office environment in support of the faculty, students, and families
- Communicates effectively with the Division Head and divisional leadership
- Acts as an administrative liaison for the Lovett Parent Association (LPA)
- Responsible for organizing weekly divisional communications to families and faculty
- Serve as the Middle School Administrator for The Lovett School's event management system, overseeing event scheduling and maintenance requests. Additionally, provide support by training new faculty on system functionalities and best practices.
- Assists with managing and monitoring divisional operating budget
- Creates and maintains information sources such as emergency contact lists, division’s email groups, faculty rosters, class rosters, division calendars, schedules for division locations, and schedules for Division Head and Assistant Division Head
- Handles sensitive information, including hiring information, compensation data, with confidentiality and utmost discretion
- Manages the Division substitute process
- Provides coaching and managerial support to front office administrative staff and volunteers
- Completes division specific registrar tasks as identified
Position Requirements
- Bachelor’s Degree with preferred experience in an education setting
- Minimum of 3 - 5 years as an administrative assistant, business support manager, or similar
- Exceptional interpersonal skills with the ability to interact with all school constituents
- Independent contributor and thinker that possess excellent decision-making capabilities and uses sound judgment to fulfill responsibilities
- Strong attention to detail with the ability to balance, efficiency, quality, and accuracy
- Demonstrated working knowledge of MS Office and Google Suite as well as presentation tools such as Loom, Canva, etc.
- Effectively plan, organize and prioritize work of self and others in a demanding environment; excellent time management skills with a proven ability to meet deadlines
- Open to learning and experiencing the world as an ally
- Ensures confidentiality and professionalism is maintained when dealing with sensitive and confidential information; possess a high degree of professional ethics
