Who are we looking for?
The Executive Assistant is an individual who is willing and able to organize, manage, and execute the systems required to move the business forward. This person relishes that opportunity to build, implement, and manage multiple systems with minimal supervision. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence: however, the overriding marker of his/her behavior is persistence and stability. This individual excels at implementing processes and completing a variety of tasks efficiently on a daily basis.
An Executive Assistant is deeply committed to supporting the CEO and/or lead listing agent in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team. As the success of the team grows, this individual will be responsible for maintaining all listing systems, buyer systems, and back-office support roles. He or she works directly under the CEO and works to implement new systems and solutions via a collaborative approach. THIS IS NOT A REMOTE POSITION.
What will you do?
These are the standards a well-average performer will maintain or exceed:
- Implements all systems for sellers, buyer, and back office support
- Supports CEO and/or lead listing agent to move the business forward.
- Receives directives for the teams Listing & Closing Managers
- Manages email account, scheduling, and phone/call/texts for CEO or lead listing agent
- Responsible for all Listing Manager duties, including, but not limited to
I. Preparing and managing all listing paperwork
ii. Create comparative market analysis
Iii Managing Pre listing protocols
Iv. Set, reschedule and confirms appointments
v. Coordinating photography, home measuring, and pre inspections
vi. Maintaining consistent communication with all active listing clients
vii. Implementing marketing, coordination open houses, and preparing agents
viii. Update and maintain listing spreadsheets, white boards, and tracking
ix. Communicate daily with listing agent
-Responsible for some Buyer Coordinator duties including, but not limited to:
i. Preparking pre consult materials
ii. Complete property research and answer buyer customer/ client questions.
Ii. Assist buyer specialists with writing contracts
iv. Create and adjust mls portals
v. Set, reschedule, and confirm appointments
vi. maintaining active buyer tracing software
- Maintains and contributes to an operations manual and documents all systems and standards.
-Is the first point of contact in handling customer inquiries via phone and email.
-Keeps the CEO/Listing agent informed regarding any problems or issues that need to be handled. Presents ideas and solutions.
-Makes phone calls to promote client events, request client review, and offer available services.
-Responsible for obtaining customer reviews and referrals
-Offers support to Team and implements all systems

Job Types: Full-time, Part-time
Pay: $40,150.49 - $52,353.27 per year
Schedule:
- 8 hour shift
- Monday to Friday
