We are seeking a Concierge/Service Attendant to perform concierge services and serves as a member of a self-directed team that through their combined efforts provides: an extraordinary greeting to residents, family, and visitors of The Mather; exceptional, efficient customer service of concierge tasks; creative, positive planning and delivery of programming; safe, efficient and transportation. Creates meaningful moments in the lives of residents, visitors, and staff by demonstrating Nextraordinary behaviors. and as a Service Attendant, support Repriorment Services staff and residents including assistance with events, set up and break down of meeting rooms, resident well-being checks, carrying and delivering packages and serving as back-up to concierge desk staff to provide relief during break periods.
This position is full-time, hourly, weekend, and holiday availability required.
ESSENTIAL FUNCTIONS (as a Concierge):
- Plans, organizes, arranges, promotes and facilitates a variety of activity, social events and outings seven (7) days a week within and beyond the community, based upon the whole person comprehensive wellness model; ensure active program participation by assisting with promotion, monthly calendars, marketing and communication materials and sign-up and room preparation processes.
- Purchases tickets for trips and coordinates purchases with accounts payable and accounts receivable.
- Regularly seeks resident input to integrate into programming decisions; support resident–initiated activities/programming.
- Encourages and mentor volunteers; incorporate volunteers actively into programming of The Mather
- Maintains high level of interaction and communication with residents/family and staff using intrinsic communication style; respond to resident requests for information; respond to resident feedback and address concerns in a timely and professional manner.
- Safely and efficiently transports residents in Mather vehicles; conduct safety checklist before each trip.
- Administrative duties to include typing menus, copying, collating, preparing directories, and producing work tickets in PM Worx program.
- Coordinates with Wellness and Fitness Coordinators, and Mather Institute on Aging staff, as well as Administrative Wizard on programmatic planning and implementation
- Creates meaningful moments in the lives of residents, visitors, and staff by demonstrating Nextraordinary behaviors.
- Provides excellent customer service for residents and guests at the “first face” of The Mather:
- Greets residents and visitors and monitor building access.
- Receives and directs in-coming phone calls.
- Responds to resident requests for information; responds to resident feedback and addresses concerns in a timely, professional manner.
- Receives and catalogs resident packages; deliver packages.
- Provides transportation reservation service.
- Provides guest room reservations, check-in and check-out services.
- Maintains daily check log, service log and other pertinent records.
ESSENTIAL FUNCTIONS (as a Service Attendant):
- Setting and resetting rooms for programs and events; including tables, chairs and miscellaneous furniture items; audio visual equipment and laptop computers as needed; decorative or theme items, etc.
- Assisting residents with lockouts and conducting well-being checks; analyzing the situation and subsequently addressing residents’ needs in a timely, professional manner and taking appropriate steps to ensure their safety and satisfaction.
- Carrying and delivering items and packages; delivering birthday balloons and cards from The Mather to our residents
- Using Microsoft Outlook or other software as implemented, complete room reservations and coordinate work orders for assistance by other experience centers (such as building services, housekeeping and culinary services)
- Responds in a timely manner to radio requests requiring immediate attention.
- Functions as back-up to concierge desk staff to provide relief during break periods or in other emergency or unforeseen situations such as call offs or other unplanned absences.
- Completes daily check-in report.
- Assisting Repriorment Services experience center with special events
- Assist with audio/visual set ups such as movies, virtual meetings and presentations.
QUALIFICATIONS AND SKILLS
Required:
- Some college or equivalent experience
- Experience working with older adults in leading programs and classes.
- Valid drivers’ license and excellent driving record
- Ability to multi-task
- Excellent customer service skills
- Ability to utilize MS Outlook and work order software systems
- Ability to prioritize and organize multiple demands on time and projects.
