Key Functions
Data Management & Gift Processing
- Performs gift processing and fund administration for all philanthropic gifts and commitments, ensuring that gifts are entered in a donor centric way that adheres to CASE/FASB and IRS guidelines.
- Generates gift reports detailing individual, corporate, foundation, and other revenue and/or outstanding gifts.
- Generates and sends gift tax receipts and oversees writing and coordination of gift acknowledgment letters and stewardship policies.
- Supports database entry and reconciliation projects from sources across business activities.
- Provides basic research for biographical and contact data, including returned mail processing and database updates.
- Coordinates and performs prospect contact data projects for batch wealth screenings and CRM integration of data.
- Develops and maintains database processes and procedures.
- Runs scheduled data integrity queries and reports to confirm quality of data. Identifies data inconsistencies and corrects when/as appropriate.
- Ensures gift commitment and pledge protocols are followed and proactively prepares pledge reminders in collaboration with solicitors.
- Globally imports contact, communications and notes data and imports and creates new contact records.
- Manages gift linking to solicitations in CRM upon receipt of funds. Records grant agreements and notifies internal stakeholders of award stipulations.
- Manages electronic and hard copy donor files, including leading and facilitating the ongoing need to digitize files, centralize digital file storage, and ensure ease of access to executed gift agreements and supporting documentation.
- Develops and trains others on policies and protocols for the storage and confidentiality of donor information.
Administrative
- Oversees cost center invoicing, reconciliation, and budget administration functions in collaboration with philanthropy and finance teams.
- Oversees Philanthropy supply purchasing and tracking to the annual philanthropy operating budget.
- Assists CDO/VP with scheduling, as necessary.
- Provides administrative operations duties, as necessary.
Contributes to a favorable working climate within the Office of Philanthropy and The Menninger Clinic. Administrative functions Handles all confidential matters in an appropriate manner, with the ability to work both independently and collaboratively within a team environment. Attention to detail and flexibility is required.
Education
Bachelor's Degree in Computer Science, Business or related field
License/Certification
N/A
Experience
Minimum of 3 years of related experience
Experience with Raiser's Edge, Virtuous or other CRM preferred.
Experience documenting business practices and processes preferred.
