Job Summary
Co-op specialists work closely with department managers to consistently meet the needs of shoppers in a fast-paced service environment. Specialists are department leads. They assist the manager in reaching sales and profit goals established for the department and monitor all established quality standards.
The Co op Support Specialist reports to the Retail Systems Manager and acts as first response for all functions, accuracy, and basic issue resolution at our Point-of-Sale (POS) system. Their duties include coordinating support with appropriate vendors as needed, and directly entering and ensuring integrity of all data entered within our POS system for all locations. They demonstrate exceptional communication skills with staff and customers, support staff through training and problem solving, prioritize and delegate tasks as needed.
Specialist Primary Duties & Responsibilities
- Collaborate with department manager to guide daily operations within the department
- Provide exceptional, prompt and friendly service in person and over the phone
- Calmly, courteously, and tactfully handle stressful situations and make a positive impression on staff and customers.
- Observe, adjust, and delegate tasks based on department priorities
- Work with Manager to achieve cost, margin, expense and labor targets.
- Collaborate with the Manager to provide coaching, training and skills development within the team
- Support initiatives for improving department processes
- If needed, act as point person during severe weather, shoplifting and disruptive situations, troubleshooting or correcting mechanical failure of department equipment, and communicating maintenance needs
- Comply with safety procedures and identify unsafe conditions; report all safety risks to store management (ex: items in need of repair, customer or employee accidents, safety risks or issues including robbery, theft, or fraud).
- Gain and maintain knowledge of cooperative ownership and business model practices
- Gain and maintain knowledge of products sold within the store and be able to respond to questions and make suggestions about products.
- Stay current with present, future, seasonal and special promotions and ads.
- Willing to work weekends and holidays.
- Reports to work as scheduled and on time.
Co op Support Specialist - Duties
- Generate[ZA1] [PC2] and maintain sales and promotional signage and data
- Act as first response for all functions, accuracy, and basic issue resolution our Point-of-Sale (POS) system.
- Assist with identifying, investigating, and resolving scanning issues and follow-up by coordinating support with appropriate parties as needed.
- Directly enter or ensure the integrity of all data entered within our POS system, including:
- Inputting sale, promotion, discount, and other prices
- Maintenance of product & vendor databases
- Inputting new products
- Tracking cost data and margins based off vendors’ invoices and updating prices as needed.
- Ensure correct tax rates, WIC and Food Stamp eligibility statuses are applied to products.
- Coordinate and ensure completion of regularly scheduled audits of shelf prices.
- Ensure optimal POS system functionality across the co-op.
- Provide reports and maintain spreadsheets based on POS system outputs to other departments as directed.
- Collaborate with Retail Systems Manager to craft and train Standard Operating Procedures and suggest revisions.
- Craft training and participate in onboarding of staff who interact with POS

Collaborate with Finance Department and Accounts Receivable Specialist on cashflow reporting, training materials, and coaching of staff engaged in cash handling and accounting procedures.
- Follow all proper cash handling guidelines and accounting procedures in accordance with company policies.
Complete daily reports of cashflow through registers (i.e., “day sheets”), reconcile daily financial data, and create change orders using established procedures.
Physical Requirements, Working Conditions Equipment
- Work is approximately 50% desk work, 50% standing/walking
- Work requires the following motions: lifting up to 50 lbs, bending, twisting, squatting and reaching; hand use: single grasping, fine manipulation, pushing, and pulling
- Exposure to temperatures: <32 degrees Fahrenheit (freezing), 32-40 degrees Fahrenheit (refrigerators), >90 degrees Fahrenheit.
- Ability to work in a wet and cold environment.
- Ability to use tools and equipment, including box cutters, electric pallet jacks, and other heavy machinery
- Work with cleaning solutions, safely use sharp tools, and carefully operate all production equipment.

Essential Qualifications, Skills, & Experience
- Past work record reflects dependability and integrity
- Availability of 35 hours/week
- Flexibility of schedule to adapt and respond to the needs of the department.
- Demonstrated experience operating Microsoft software applications, including Outlook, Word, and Excel (or) Basic knowledge of Microsoft Office applications
- Exceptional customer service skills
- Effective organization and time management skills
- Proven ability to follow through on commitments, prioritize and reprioritize as necessary
- Excellent interpersonal and customer relationship skills
- Must have the ability to read written and interpret verbal or demonstrated instructions; write identifying information and make requests verbally or in writing
- Must be able to solve practical problems and work towards solutions
- Must be able to perform simple addition and subtraction, as well as counting and recording
Preferred Skills & Experience
- The ideal candidate will have the ability to use discretion to execute the daily operation of the department without direct supervision.
- They will show initiative and have the willingness and ability to seek out answers, training, and help (when needed) in order to hit deadlines and complete all job duties.
- Proficiency in retail POS software
- Prior experience in tech support, desktop support, or a similar role
- Attention to detail and good problem-solving skills
- Ability to multitask and work quickly under pressure.
