Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, a strong work ethic, and the ability to prioritize tasks effectively.
Responsibilities:
- Greet employees and visitors with a professional demeanor and provide exceptional service and assistance.
- Serve as the primary point of contact for delivery services, vendors, and couriers, ensuring smooth operations and timely communication.
- Manage the receipt, distribution, and pickup of mail and packages, maintaining a high level of efficiency and organization.
- Collaborate with office vendors to manage service contracts, scheduling, and ongoing service needs.
- Maintain inventory of pantry and office supplies, ensuring all items are adequately stocked and easily accessible.
- Answer, screen, and direct incoming phone calls, ensuring efficient communication flow and providing excellent customer service.
- Process and reconcile travel and expense reimbursements, adhering to company policies and guidelines.
- Organize logistics for internal and external meetings and conferences, including scheduling, video conferencing setup, catering, preparing meeting materials, and maintaining conference areas throughout the day.
- Coordinate and manage departmental activities and special events, as requested.
- Handle sensitive information with discretion and confidentiality.
- Foster a collaborative and supportive environment, assisting peers and team members as needed.
Qualifications:
- Bachelor's degree or equivalent experience.
- A minimum of 2-5 years of experience in an administrative role, ideally within the finance or real estate industry.
- Strong written and verbal communication skills.
- Exceptional interpersonal and time management skills, with a proven ability to adapt and remain reliable in a dynamic environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with basic accounting skills.
