GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES :
As the Administrator for Institutional Advancement, you will provide administrative support to the Deputy Director & Chief Advancement Officer. Utilizing high emotional intelligence and communication skills, you will develop constructive and collaborative relationships and interact regularly with internal and external stakeholders, including Trustees, members of the various Board Committees, Museum staff, donors, and other visitors to the Museum. You will assist in coordinating and facilitating development initiatives, events, communications and research. You will develop trust both within and outside of the department and act as a liaison between the Deputy Director and internal and external stakeholders.

PRIMARY RESPONSIBILITIES & DUTIES :
Maintain a strong understanding of the various functions and activities of Institutional Advancement and any projects related to the Deputy Director in order to increase the Deputy Director’s efficiency and effectiveness and help facilitate this by tracking projects and commitments to ensure continued progress, consistent follow through, and timely completion.
Strategic management, oversight, and support of the Deputy Director’s calendar to ensure all necessary meetings are scheduled and sufficient time is allocated to complete projects and prepare for upcoming meetings, events, and / or travel.
Ensure agendas, minutes, and support documents are prepared by relevant staff members across Institutional Advancement and received by the Deputy Director in a timely manner in advance of all meetings, events, and / or travel.
Respond to and interact with constituents, from Met Trustees and staff to Museum donors and visitors to arts, business, and civic professionals to other external stakeholders, in person, via email and other written correspondence, and by phone; provide information and facilitate important and time-critical communications to and from the Deputy Director; and ensure the Deputy Director’s outgoing email queue is monitored so that communications can be sent in a timely manner.
Serve as point of contact for staff and other individuals who wish to reach the Deputy Director; on behalf of the Deputy Director, respond to or reroute inquiries when appropriate.
Coordinate all travel arrangements, prepare detailed travel itineraries, and oversee expense reports related to travel as well as other general expenses for reimbursement.
Maintain an organized filing system
Assist with general office functions, when necessary and / or as appropriate, including escorting guests, ordering supplies, filing maintenance tickets, and onboarding new staff members.
Other projects and duties as assigned.
Available to work evening and weekend hours as needed.
REQUIREMENTS & QUALIFICATIONS :
Bachelor's degree or equivalent experience required.
5 years of administrative office, business, or related experience; previous experience in arts administration is desirable.
Excellent written and oral communication skills and proven ability to work well in a complex, production-oriented, deadline-driven department.
Excellent organizational skills, detail oriented, and ability to manage multiple tasks simultaneously.
Must be able to interact and communicate effectively with all levels of Museum staff, as well as members of the Board of Trustees and other Board Committees, VIPs, donors, visitors, and guests.
Demonstrated experience working independently to resolve discretionary problems, and prioritize needs in a thoughtful and strategic manner.
Demonstrated successful project management and coordination experience.
Knowledge of software programs for managing projects, schedules, and budgets; strong quantitative skills.
Demonstrated experience operating with a high-level of discretion when working with confidential information and materials.
Thorough proficiency in Microsoft Word, Outlook, PowerPoint and Excel and willingness to learn new computer programs required.
Knowledge of New York philanthropic community desirable.
COMPENSATION RANGE :
Pay Range : $90,000.00 - $95,000.00 / Annually

The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.
Location Requirements
At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states : New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
