Job Description
The Conference Service Manager is responsible for achieving ongoing guest satisfaction and team goals of the Department. As a Mission Inn the Conference Service Manager (CSM) is responsible for detailing and coordinating events after a group contract has been executed and turned over to the CSM by the sales team. The requirement of the position includes, but is not limited to:
The Conference Service Manager’s main function is to provide the service of any previously booked groups and or special events as assigned by the Sales Managers. The CSM meets and exceeds the financial goals as assigned by the DOSM. The CSM is responsible for adhering to all of Mission Inn’s operating procedures and policies.
MAJOR RESPONSIBILITIES:
1 Coordination of Sales bookings business as directed by the Sales Managers
2 Respond to all clients accurately, in a timely fashion and in a professional manner.
3 To type correspondence, reports and necessary forms i.e. BEO’s, as well as prepare proposals or other letters as directed
4 Contact and provide appropriate follow-up on all banquet signed and contracted business within 24 hours of receiving a turnover from the Sales Manager. Secure all guarantees.
5 Responsible for communicating with the various departments to ensure that the event and related functions are executed to exceed the client’s expectations.
6 Maintains well documented, accurate, organized and up-to-date file management in order to serve clients and Mission Inn in the most expedient, organized and knowledgeable manner.
7 Develops strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interaction.
8 Work with Sales Managers to achieve the required goals.
9 Exhibits a positive and involved team attitude to all Departments and maintains open communication with coworkers
10 Meet with and conduct site tours for detailing purposes for upselling events as needed
11 Displays a neat, clean and business-like appearance at all times

- A working knowledge of the practices and procedures of banquet sales, food and beverage and hospitality professions
- Ability to effectively communicate with the DOSM, Sales Managers, Other Departments and Guests
- Coordinate with prospective group clients.
- Selling to prospective clients to meet and exceed financial goals
- Upselling to existing clients to meet and exceed financial goals
- Detail programs and deliver flawless events to Guests, Associates and Owners by providing complete customer satisfaction.

JOB QUALIFICATIONS:
- Requires proficiency on the computer using basic software i.e. Delphi, Word, Excel
- Strong typing skills
- Strong customer service skills
- Strong organizational skills
- Accurate work practices
- Friendly demeanor and positive attitude
- Required 12th Grade mathematics, spelling and reading skills
- Requires ability to hear, speak, read and write English fluently
- Strong organizational skills
- Effective verbal communication
- Previous Catering experience preferred
- Previous Management experience
- Conduct pre-planning visits
- Arrange and conduct menu tastings
- Participate in venue sets and supervision of the event
- Follow strict safety guidelines
- Scheduling of Vendors to accommodate client needs and requests
