Position Overview :
The Sales Coordinator assists in developing sales opportunities within the meetings, incentives, conventions, events, and leisure travel markets. The individual in this role is an advocate for the Museum, supporting all departments in their effort to advance the profitability of the organization and meet business goals. S / he will foster relationships, both in- and out-of-market, assist with facility rentals, handle group ticket sales, and nurture a continued interest in the Museum’s offerings. The Sales Coordinator reports to the Senior Director of Development & Special Events and works closely with other team members across the organization to promote the Museum’s mission of advancing the public understanding of organized crime’s history and impact on American society.
Major Tasks and Responsibilities :
- Serve as an advocate for business development with a strong focus on corporate groups, school groups, seniors, military segments and tour operators.
- Respond quickly to incoming requests and follow up to ensure client satisfaction.
- Make sure that client needs are consistently met and resolve customer issues in a timely and empathetic manner.
- Prepare proposals and price quotations for customers, prepare and track invoices, deposits, and payments, following-up with customers as appropriate.
- Develop positive working relationships with new and existing clients by anticipating needs and acting promptly to rectify any problems.
- Handle account details so that all pertinent aspects of solicitation and closing are complete and documented.
- Maximize revenue by negotiating the highest price, upselling audio tours / guided tours, souvenir photos, concessions, store merchandise and generating ancillary revenue to maximize sales.
- Negotiate group ticket rates within approved booking guidelines.
- Maintain and update contact lists and databases.
- Sort and safely store client-related financial and non-financial data, including both electronic and physical filing and record-keeping.
- In the absence of a Sales Manager host site visits for prospective clients at the facility.
- Assist the Senior Director of Development & Special Events and the Sales Manager in administrative tasks
- Provide input to create strategic plans.
- Participate in the research, development, evaluation and implementation of new products and promotions.
- Participate in weekly team and individual meetings and other sales-related meetings as required.
- Stay abreast of in-house exhibitions, educational programs, and related community events to keep staff and guests well-informed.
- Assist in the preparation and organizing of promotional material or events, including a monthly newsletter for local concierges
- Assist in dedicated marketing programs to target the leisure or corporate customers, including direct email or cold calling initiatives
- Perform any other job related duties as assigned.
Experience / Qualifications / Requirements :
Education : Bachelor’s Degree or equivalent work experience is required.
