Description
Responsible for the procurement of all products, furniture, fixtures, equipment, supplies and other purchases in the club’s centralized procurement program. Assist in the development of purchase specifications; select suppliers, establish bidding and ordering procedures and help develop effective source document flow through the club.
Qualifications:
Formal Education: Bachelor’s degree or higher in field related to business preferred.
Skills: Professional verbal, written and listening communication skills. Basic computer skills for formulating price worksheets, cost analysis and retail food and beverage pricing, operating e-mail and other software decided upon by The Moorings Club.
Knowledge & Certificates: Experience in sourcing, purchase planning, specifications development, value analysis, financing, price negotiation, contract administration, inventory control, disposals and other related functions. Knowledge of local, state and federal laws.
Experience: Minimum 4 years’ experience. Club experience helpful.

Requirements
Job Duties:
Procurement Program
1. Coordinate the procurement and distribution of food items with production operations.
2. Oversee established stock levels to provide adequate food and supplies to minimize
investments.
3. Advise Chef & GM when changes appear necessary.
4. Obtain the best value at the lowest price consistent with established quality standards and delivery schedules.
5. Interview salespersons; place orders per club standards and COS budget.
6. Monitor flow of materials through the club (from selection to production to service).
7. Utilize procedures which minimize operating costs for purchase and storage of all products.
8. Help to minimize losses from product or supply pilferage, spoilage or obsolescence.
Administration and Finance
1. Maintain files of vendors’ stock lists, catalogs, price sheets and discounts in the Inventory Software.
2. Determine the cost of deliveries and the best method(s) of transportation.
3. Maintain a file of current specifications.
4. Monitor records of inventory, materials on order, and potential demands for food, beverages and supplies.
5. Negotiate reasonable terms with suppliers.
6. Participate in “make-or-buy” decisions with production and service staff.
7. Take inventories in coordination with Accounting Manager and Department Managers.
8. Help develop purchasing policies and procedures for the Food & Beverage Department.
9. Gather information about market conditions and availability of materials.
10. Monitor inventory records, track inter-company product transfers and other financial data in cooperation with the Accounting Manager and/or the Director of Finance & HR.
11. Compare suppliers’ product quality, service dependability and costs.
General
1. Inspect storage areas.
2. Monitor maintenance and repair of storage facilities.
3. Create goodwill for the club through effective trade relations.
4. Work with suppliers to identify new products, materials and processes.

10. Must be able to stand, stoop, bend, reach overhead, push, pull, and lift fifty (50) pounds.
Machines/Equipment/Tools used:
1. All office equipment and computer including Excel and Word software.
2. Jonas Food and Beverage Software as necessary. Windows format or other Club software as applicable.
Working Conditions:
1. Requires indoor and minimal outdoor work.
2. Schedule is Monday thru Friday from 7:30 a.m. - 3:30 p.m. and Saturdays and holidays as needed.
Supervises: No supervisory duties are included in this position.
