General
The Project Administrator is responsible for the project billing process including project set up and maintenance, suppliers/subcontractors invoice processing, customer billing, and other job maintenance/reporting as necessary. This position will assist the accounting department and the Project Managers with timely and accurate reporting and billing.
*Experience in the construction industry and/or accounting is preferred as well as a familiarity with accounting software and AP/AR.
Duties & Responsibilities
- Assist with set-up of field offices
- Assist with closeout organization of files
- Attend kick off meetings, go over Sharefile access, pay app procedures, mailing procedures, meet with subcontractors
- Review and track subcontractor insurance and compliance documentation
- Responsible for transmittal and distribution of signed CC02s, budget transfers, change orders, joint check agreements, requests for checks
- Edit/file/send letters: contract status letters, instruction letters, schedule updates
- Upload monthly Owner Reports
- Update Lien Waiver Information when documents are received
- Prep checks to be mailed; mail or drop off to subcontractors
- Follow up with subcontractors for missing documents
- Responsible for picking up and delivering mail to jobsites
- Enter invoices into Viewpoint
- Assist Project Managers with Change Orders if needed
- Responsible for setting up, uploading, and maintaining job files in Sharefile
- Ensure all subcontracts and applications for payment are executed in a timely manner.
- Follow up with PMs for Pay Requisitions
- Update insurance information on logs when new Insurance Certificates are received and file with Main Office
- Make copies and file as requested
- Distribute internal mail to the appropriate parties
Skills & Qualifications
Experience in the construction industry and a knowledge of accounting is preferred but not required. Must have excellent organizational skills, be detail-oriented, and comfortable with computer operations. Familiarity with Viewpoint software is highly desired.
