This position will serve as the Research Center Administrator for the UW-Madison Cryo-Electron Microscopy Research Center (CEMRC), the NIH-funded Midwest Center for Cryo-Electron Tomography (MCCET), and the Wright lab at the University of Wisconsin-Madison. These centers and laboratories have missions for providing cryo-EM infrastructure to the broader scientific research community and applying and developing new cryo-EM technologies to support making cryo-EM methods and technologies faster, reliable, and broadly accessible. For individuals seeking to learn cryo-EM methodology or advanced training in our techniques, we offer hands-on and remote learning experiences. This position is expected to establish and maintain effective working relationships with diverse individuals and groups at all levels of the organization to advance the mission of the centers while working independently using initiative, creativity, and judgment to manage projects and solve problems. The successful candidate can expect to work between 40 and 50 hours per week, depending on priorities and coordinated events.  Please note the  lab is closed the week between December 25th and January 1st, and the week of July 4th.


Primary Responsibilities

Research Management and Administration: 

o Develop technical and scientific proposals for the CEMRC and MCCET including administrative and budgetary information as well as any research, educational, and outreach accomplishments. 

o Provide information and interpretation of grant compliance regulations to faculty & academic staff; ensure compliance with federal, state, and University regulations.

o Participate and present logistical aspects of the CEMRC, MCCET, and the NIH National Network of Cryo-ET Centers at weekly, monthly, and annual leadership meetings. 

o Support the laboratory in the development, management, and implementation of budgets in compliance with policies and procedures of UW-Madison, the NIH, and other stakeholders.

o Meet and assist PI with monthly management of post-award expenditures to ensure compliance with funding agency guidelines. Provide information and interpretation of grant compliance regulations to faculty and academic staff; ensure compliance with federal, state, and University regulations.

o Interface with accounting staff for award closeout.

o Review and oversee annual progress report submissions.

o Coordinate financial transactions for the CEMRC and MCCET program participants including the use of UW systems for reimbursement. Serve as a resource to advise individuals submitting reports and help resolve issues.


Laboratory Support: 

o Maintain inventories of equipment and supplies for the research laboratory, CEMRC, and MCCET. Including the procurement of equipment and supplies. 

o Develop and maintain a laboratory reference database of key metrics of outcomes for the lab including the following activities: collaborative projects, publications, patents, awards, graduate placements, etc. This is particularly important for the CEMRC and MCCET but can be applied to all three labs. 

o Submit for campus review, and maintain, records of equipment warranties, maintenance agreements, material transfer agreements, software agreements, and laboratory safety. 

o Oversee the repair of broken or nonfunctional equipment. Work with companies to arrange routine maintenance and repair of equipment as needed. 

o Oversee the certification of projects (effort) and researchers with respect to biohazards, lab safety, and proper disposal of wastes. Ensure compliance with federal, state, funding agency, and UW-Madison regulations. Develop training plans for new researchers to educate them on UW-Madison and departmental protocols. 

o Develop and maintain a visible, public online presence for the CEMRC and MCCET including updating the CEMRC and MCCET's website, Twitter, and other social media sites.


Act as a Liaison for PI:

o Assist with planning and development of events (budgetary, logistics, travel arrangements, etc.) related to laboratory business including CEMRC and MCCET advisory board meetings, research and education workshops, industrial consortium meetings, site visits, invited seminar speakers, etc. 

o Serve as a liaison with on-campus and off-campus resources and facilities as needed. 

o Interface with support staff to post job openings, manage payroll appointments and to initiate changes of personnel support as needed. 

o Act as primary scheduler for the PI. 


Other laboratory activities as assigned.

Education and Experience

· Minimum Bachelor’s degree in business, science, or biotechnology is preferred. 

· At least 3 years of administrative experience required. 

· Experience with pre-and post-award administration and with managing multiple projects is required

· Previous experience with the day-to-day operations of a laboratory, including ordering supplies, maintaining equipment, overseeing lab safety/biosafety, record-keeping, working with research staff, and performing services is required

· Good understanding of NIH and NSF guidelines that govern research applications and expenditures preferred.

· Demonstrate proficiency with software and web-based programs include Microsoft Office and Google applications.

· Strong skills in website development and using Wordpress and social media. 

· Ability to work with individuals with a wide range of backgrounds and status.


Working Conditions and Physical Effort

· Work is normally performed in an office setting.

· No or very limited physical effort is required.

· No or very limited exposure to physical risk.
