Client Services Associate
Salary up to 55K
Location: Worcester MA
Summary of responsibilities:
- This position provides administrative support to the senior-level registered and administrative assistants by completing operational functions efficiently.
Principal responsibilities:
- Prepare and send correspondence and new account and service forms to clients.
- Review and process incoming paperwork and correspondence.
- Send documents to broker/dealer or fund companies.
- Follow up on forms sent to broker/dealer or fund companies.
- Document all client related activities in CRM and create follow-up actions to ensure all actions have been completed correctly and in a timely manner.
- Maintain CRM client data and activities.
- Maintain client relationships via email, phone, online and in-person meetings.
- Prepare meeting materials.
- Create and print various reports.
- Upload and file client correspondence and documents.
- Upload and update information from client statements.
- Perform client mailings utilizing mail merge.
- Process and follow up on incoming and outgoing fund transfers via check, journal, EFT, or wire transfer in Wealthscape/ICP.
- Process and follow up on check deposits.
- Prepare Direct Mail and Trade Logs as necessary.
- Review reports for automatic transfers and report issues to administrative team.
- Prepare Retail Marketing Kits.
- Regularly review news items, technology updates, and e-mail communications.
- Attend Retail Client Staff Meetings.
- Make recommendations to systematize and improve office functioning.
- General Office Functions:
- Prepare and mail birthday and holiday cards for retail clients
- Sort and distribute incoming mail
- Answer phones, as needed
- Other tasks, as needed
Required knowledge/skills
- Detail-oriented with strong problem-solving and critical-thinking skills
- Exceptional time-management and organizational skills
- Strong verbal, written, and listening skills
- Competent with technology (MS Office Suite-Word, Excel)
- Ability to operate basic office equipment (copiers, fax machine, postage machine, phone system, etc.)
- 2 years-experience in an administrative role (financial services experience a plus)
- Must have the ability to maintain client confidentiality
- Personal integrity and commitment to excellence
- Willingness to continually learn and improve skills
