Key Responsibilities
- Client Communication: Serve as the primary point of contact for clients, opposing counsel, and legal agencies, efficiently handling communication in both English and Spanish via phone, email, and written correspondence.
- File Management: Oversee the opening and closing of client files, ensuring thoroughness and accuracy. Manage both paper and electronic files, including document organization and maintenance in the firm’s document management system.
- Legal Correspondence: Draft general legal documents, including letters to clients, courts, and opposing counsel, under the guidance of attorneys.
- Client Intake & Management: Conduct conflict checks, prepare engagement letters for attorney approval, and manage new client files.
- Court & Agency Filings: Serve and file pleadings and legal documents with state and federal courts, government agencies, and administrative tribunals in both hard copy and electronically.
- Scheduling & Calendar Management: Coordinate appointments, court dates, deadlines, and reminders to ensure efficient workflow.
- Document Handling: Receive, scan, distribute, and file incoming and outgoing correspondence in accordance with office protocols.
- Bilingual Fluency: Must be fluent in both English and Spanish, with the ability to communicate effectively in writing and orally.
- Experience: At least 1-3 years of legal assistant or administrative experience in a law firm or professional office environment.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook), Adobe, and experience with legal software such as Filevine and SharePoint is a plus. Strong ability to manage electronic files and document scanning systems.
- Attention to Detail: Exceptional organizational skills with a focus on accuracy, proofreading, and thorough file management.
- Clerical & Interpersonal Skills: Ability to prioritize tasks, multitask effectively under pressure, and meet deadlines. Strong communication skills, both written and verbal, with a high level of professionalism and client service.
- Work Ethic: Must be self-motivated, with the ability to work both collaboratively in a team setting and independently with minimal supervision.
