Summary
The National Board of Boiler & Pressure Vessel Inspectors (NBBI) is seeking an exceptional, self-motivated, and versatile Executive Assistant/Student Coordinator to work on-site in Columbus, OH. The hours for this position are from 8:30am to 4:30pm. This person will be the Executive Administrative Assistant to the Director of Training and responsible for supporting the functions of the Director as well as providing administrative, clerical, and general office support needed within the department. This position also coordinates student enrollments, communications, and associated student relation needs while maintaining student records.

For 105 years, the not-for-profit, member-based National Board of Boiler and Pressure Vessel Inspectors (NBBI) has been committed to public safety through its involvement with the stakeholders in the boiler and pressure vessel industry. Membership is comprised of chief boiler and pressure vessel inspectors in the US and Canada who enforce pressure equipment laws and regulations in their jurisdictions.
Headquartered on a 16-acre campus in Columbus, Ohio, employees of the National Board support the following programs: an international classroom and online training department; a pressure equipment data report registration system; a comprehensive pressure relief department and state-of-the-art international testing laboratory located in Worthington, Ohio; industry accreditation programs; the maintenance and distribution of its flagship publication, the National Board Inspection Code; publication of the National Board’s technical journal, the BULLETIN; and various other functions. Executive Assistant/Student Coordinator
Summary
The National Board of Boiler & Pressure Vessel Inspectors (NBBI) is seeking an exceptional, self-motivated, and versatile Executive Assistant/Student Coordinator to work on-site in Columbus, OH. This person will be the Executive Administrative Assistant to the Director of Training and responsible for supporting the functions of the Director as well as providing administrative, clerical, and general office support needed within the department. This position also coordinates student enrollments, communications, and associated student relation needs while maintaining student records.
Essential Duties And Responsibilities
- Communicates with training coordinators regarding inventory of instructor-led course-specific supplies, such as Code books, calculators, etc., and notify the department director when supplies are to be reordered
- Maintain department calendar and respond to all emails in department inbox
- Answer Director’s incoming calls
- Assist Director with administrative and special projects, reports, etc.
- Order office and building supplies for training department
- Maintain student information boards in training building lobbies
- Set classrooms for internal and hosted external meetings; organize additional meeting requirements as requested
- Serves as point of contact for external organizations using and/or referencing National Board training as an accepted part of their education programs. This includes reaching out to new organizations to promote the use of National Board training.
- Corresponds with students enrolling in National Board training; assists students, as needed, throughout the enrollment process
- Interacts with Accounting department regarding tuition payments, cancellations, and/or refunds
- Maintain student records, prepares all class attendance materials required for class, and sends training completion certifications
- Update records for company requests, merges, and general data entry training-related projects within Aptify database
- Organize examination day student lunch for all on-site instructor-led classes
- Respond to Help Desk questions from online training students, either by telephone or email
- Set up meeting links for virtual delivery training classes for students and remote training staff
- Coordinate with the training coordinators shipping of training materials to students for virtual delivery training classes; serve as liaison with international shipping partner, AIM
- Other duties as assigned
- This job has no supervisory responsibilities
- Associate degree or equivalent combination of education and experience
- Two (2) years’ experience in providing administrative assistance on a director level or above
- Two (2) years’ experience (classroom or work-based) in business practices and office administration
- Proven administrative assistant experience and/or certification as administrative assistant
- Microsoft Office/Suite (Word, Excel, Access, etc.) required
- Database management helpful and/or willingness to learn database management programs
- Remote meeting tools such as Zoom, Teams, WebEx, etc., helpful
- Interact professionally with staff members and outside contacts
- Excels in a support role; dependable
- Excellent written and oral communication skills
- Strong customer service skills
- Perform work that is confidential
- Time-management skills; ability to prioritize tasks on multiple projects
- Self-starter with the ability to work well under limited supervision
- Detail-oriented with excellent follow-through and organizational skills
- Perform routine clerical duties such as emailing, telephones, and maintaining documents
- Anticipate need of Director and department; recommend ideas to efficiently operate department
