Overview
The NCOAE Admissions Assistant is vital in maintaining efficient office operations and offering essential administrative
support to NCOAE’s students, program directors and executive team. This position is the primary point of contact for
students, parents and staff. The Admissions Assistant is responsible for managing student records, aiding program
functions and is at the heart of NCOAE's administrative processes. The ideal candidate will demonstrate strong
communication skills, exceptional time management abilities, and a proactive approach to problem-solving. This position
reports directly to the Executive Assistant and involves close collaboration with the Executive Director

Successful candidates need to have a thorough understanding of NCOAE’s programming, strong customer service, as
well as written and verbal communication skills.
Major Job Responsibilities
1. Manage enrollment and registrations for all courses
2. Answer potential student questions via phone, email, and live chat
3. Support students during the enrollment process
4. Support students during ‘check in’ and ‘check out’ of course
5. Process and track payment for trainings and courses in a secure online system
6. Collect and maintain student records in accordance with program requirements
7. Maintain filing systems (on-line and hard copies)
8. Assist the executive team as necessary
Qualifications and Requirements (subject to change)
1. Must be detailed oriented and organized
2. Knowledge and passion for NCOAE programs, curriculum, and operating philosophy
3. Creates and maintains a welcoming and supportive student environment
4. Excellent customer service skills are a strong must
5. Bachelor’s Degree or equivalent
6. Two (2) years previous clerical experience, preferably with academic, patient, or client records in a medical or
social services setting
7. Demonstrated success with multitasking and working as an integral part of a high-functioning team responsible for
the care and safety of others.
8. Excellent oral and written communication skills, including public presentation and procedure
training/demonstration skills. (Knowledge of MS Word/Excel)
9. Proficient in basic computer operation, including but not limited to navigating the Internet; using programs like
Microsoft Word, Excel, and PowerPoint; and corresponding via email and text.
10. Passion for social justice and working with diverse and underserved populations.
11. Fluency in additional languages—including Spanish and French—is a plus, but not required.
12. Ability to learn new computer software applications are a requirement
13. Previous experience with invoicing and office machinery is required
Physical Requirements
Extensive use of computer and the telephone is required, as is the ability to lift and carry approximately 50lbs of
equipment.
Job Type: Part-time
Pay: $16.00 - $20.00 per hour
Expected hours: 15 – 25 per week
Schedule:
- 8 hour shift
- Monday to Friday
