WHAT WE CAN ACHIEVE TOGETHER

The Executive Assistant (EA) serves as the key strategic partner to Chief Development Officer (CDO), with central responsibility for prioritizing internal and external attention, including directing follow up on donor portfolio moves, calendaring meetings for stakeholders, and managing workflow and department meetings. The Executive Assistant will / may also support one other senior Development Officer.

The EA will support the Development Senior Management Team (DSMT) and the Development department broadly as a key member and support the execution of the department's work. In addition, the EA will help department members and others across the organization access the CDO and the department more broadly by assessing and prioritizing requests and escalating critical needs.

In addition to strategic support of the CDO and the department, the EA will perform administrative duties such as leading correspondence on the CDO's behalf, project managing execution of tasks to support the CDO's and departments goals, prioritize and plan travel, track time and expenses and review time and expense tracking of direct reports, prepare and print materials as needed, and facilitate other chapter or organizational reviews and approvals as needed.

The EA will maintain, track, analyze, and report on key data for the CDO and the Philanthropy Senior Management team. They will adapt processes and implement recommended practices to improve effectiveness. They will communicate on behalf of the CDO and have substantial contact with stakeholders, including all levels of staff, donors, volunteers, vendors, and business relations. The EA takes on additional duties to enhance the work of the team. Such responsibilities may include but are not limited to a significant role in training, developing documentation, and / or enhancing the systems and tools used by the team.

WHAT YOU'LL BRING

  • Bachelor's degree and 3 years related experience (or equivalent combination of education and experience).
  • Experience generating reports and analyzing / interpreting data.
  • Experience managing the schedule and contacts of a senior leader.
  • Experience in discreetly managing highly sensitive, often confidential, information in a professional manner.
  • Experience with database management.
  • Experience working across departments.

  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
  • Experience coordinating projects.

  • Experience working with a board of directors, donors, volunteers, the public, and / or all levels of staff; and / or
  • Strong organization skills, accuracy, and attention to detail.

    SALARY INFORMATION

    The starting pay for this position is within the range of $76,800 – $89,688 for annual base salary. This range only applies to candidates whose country of employment is the USA and state of employment is California. Where a successful candidate's actual pay will fall within this range will be based on a variety of factors, including location, qualifications, specific skills, and experience. Your geographic location will be confirmed during the recruitment.
