Job Overview
The Administrative Assistant, Horsemen’s Relations will assist the Horsemen’s Relations Supervisor as Concierge for all horsemen; Assists in providing arrangements for their accommodations, dining and transportation; Assists with trophy presentations in the Winner’s Circle; Performs administrative duties for the office and also be on site as required in the Carmen Barrera Lounge to greet and assist horsemen and connections with any hospitality need.

Essential Functions
- Handles all telephone calls and performs required paper and electronic correspondence;
- Maintains all office files and inputs and maintains addresses in the database;
- Assists in taking horsemen’s daily requests;
- Provides horsemen with any needed arrangements;
- Distributes all mass mailings;
- Assists in booking hotel rooms for horsemen and making guest dining reservations;
- Assists in assigning box seats;
- Assists in setting up trophy presentations in the Winner’s Circle and escorts horsemen to the photographers and champagne toasts;
- Packages picture frames to mail to stakes race presenters;
- Assists with assembling and delivering “goodie bags” for key races;
- Performs other projects as needed.
- Assists in packing and unpacking of all trophies; assists in displaying all trophies.
- Greets horsemen in the Carmen Barrera Lounge as required and provide assistance.
