Position: Time & Billing Assistant
Reports To: Time & Billing Manager
Summary: This position will assist the Billing Manager, attorneys and their assistants with all Billing-related requests.
DUTIES AND RESPONSIBILITIES:
1. Assist with mass prebill distribution at the beginning of the month
2. Process edits and transfers to pre-bills as directed by billing attorneys keeping within the department and Firm standard turnaround time
3. Perform write offs and finalize bills as directed
4. Ensure time and disbursement entries on invoices are in accordance with client guidelines
5. Generate bills, reprint corrected pre-bills
6. Research and reconcile expense receipts for electronically billed clients
7. Transmit invoices through EHUB or third-party platforms
8. Monitor EHUB and third-party electronic billing system for potential rejection of previously submitted bills and revise as needed
9. Maintain/update client billing instructions and deadlines in firm’s database
10. Other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. At least 2 years relevant experience
2. Previous law firm experience preferred
3. Proficiency in MS Word and Excel
4. Experience with Aderant time and ebillingHUB preferred
5. Strong data entry, typing and proofreading skills
6. Good organization skills
7. Must be highly detail-oriented with the ability to prioritize and handle multiple tasks in a fast-paced environment
8. Ability to think independently and work under tight deadlines
9. Strong written and verbal communication skills
10. Customer service oriented with the ability to professionally collaborate with others
11. Strong work ethic with good judgement, confidentiality and discretion
