At The Oars, the Concierge’s primary purpose and function is to create a great first impression and to provide administrative support to the Executive Director and management team. This position requires an individual who has high energy, driven professionalism, and a sound business acumen.
ESSENTIAL FUNCTIONS
- Responsible for creating a great first impression
- Attending to house pets which may include but not limited to feeding, waste disposal, etc.
- Welcome guests and clients by greeting them in person or on the telephone; answering or directing inquiries.
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserve Executive Director’s time by researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintain Executive Director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel, and ensuring they meet deadlines.
- Create, maintain and manage systems appointed by the Executive Director i.e. Resident Roster, Emergency Binder, Sign In/Sign Out, Beauty Barber Appointments, Team Member Meal Purchases, Lost and Found, Mail, Resident Photos etc…
- Assist Executive Director to assemble resident files prior to move in and throughout his/her residency.
- Other projects as assigned by Executive Director.
- Maintain confidentiality in accordance to HIPAA.
- Provide reference by developing and utilizing filing and retrieval systems; recording, meeting discussions.
- Fulfill annual training requirements.
- Contribute to team effort by accomplishing related results as needed.
- Provide administrative support.
