Position Description
The Project Coordinator will work closely with other Project Managers to help ensure that projects are resourced, completed on time and budget to the satisfaction of the agency and clients. You will be responsible for various project tasks and for ensuring that they meet time and quality goals. As a Project Coordinator, you will be expected to manage small-scale projects with minimal supervision. The Project Coordinator reports directly to the Associate Director, Project Management.
Responsibilities & Duties
- Assist project manager and client strategy team in project planning and setup
- Participate in developing project documentation (i.e. kickoff deck, brief, trackers)
- Independently define and execute project tasks throughout the lifecycle
- Assist in creating and maintaining project timelines
- Perform internal tasks such as keeping track of freelancer timesheets, PTO documentation, and other operational tasks on a weekly basis
- Communicate hours and tasks budgeted to team members
- Schedule and attend internal meetings, and prepare and distribute meeting notes
- Maintain project status documentation and keep team informed on a weekly basis
- Escalate questions and issues to manager in a timely fashion
- Balance a sense of urgency with calm and confidence at all times
- Other duties as assigned by your manager
Required Experience
- 0-3 years of project management experience at a design, marketing, digital agency or similar creative environment
- Previous internship in project management or similar preferred
- Ability to multitask, working independently in a fast-paced environment
- Adept at time management to facilitate involvement in multiple projects
- Passion for organization and problem-solving
- Excellent oral and written communication skills
- Ability to take initiative and exemplify a “get it done” attitude - a demonstrated bias for action
- Proficiency with online collaboration tools (Google Drive or Microsoft 365), proficiency with Word and Excel, experience with project management software is a bonus
