Job Description

The Assistant Director of Events and Conferences oversees the strategic direction of the event planning team as well as the scheduling and planning of all events; plans, develops and implements the strategic plan for all event planning supporting the mission of the Office of Student Life. Assists the Director of Events and Conferences to develop strategic plans for new revenue opportunities. Collaborates with the Director of Events and Conferences, as well as faculty and staff, to cultivate event and conference concepts that drive additional revenue and bolster the reputation of Student Life and the University. Implement and oversee sales and marketing plan of scheduling and event areas. Works with business development staff to help curate and promote events and conferences. Works with the Student Life Events Team, Student Life Sales Team, and student staff to produce high-quality, successful events for clients of Student Life event spaces. In addition to curating, managing and coordinating events, this individual will supervise Student Life Event Planning Coordinators, complete regular meetings with Event Planning Coordinators; oversee timekeeping, performance management and professional development; assist in representing Student Life at conferences, tradeshows, and other promotional opportunities; collaborate with the Director of Events and Conferences to serve on committees and complete projects; work closely with key components of events and conferences including internal and external caterers, Audio Visual, Facilities Operations, Environmental Services, Risk and Emergency Management, Buck-ID office, and Operations teams to plan, coordinate, and manage events within and outside of Student Life event spaces; create and implement policies and procedures pertaining to scheduling and event areas; provide oversight for departmental budgets; constantly assess procedures to make changes and updates as necessary based on customer feedback; create and implement service standards. Offers comprehensive event services to clients, focusing on understanding and fulfilling their event requirements. Collaborates with clients to identify their needs, encompassing catering, audiovisual, and operational aspects. Plans and coordinates food and beverage services, catering, and other specialized requirements for conference groups and meetings. Consults with clients and vendors regarding detailed arrangements; oversees and ensures smooth execution of assigned events; serves as contact for client needs before, during, and after events; proactively works with event schedule and student staff to determine upcoming event needs; coordinates information about events with other university departments; available to work evenings and weekends.

Qualifications

Required: Bachelor’s degree in hospitality management, or a related field or equivalent combination of education and experience; 5 years of relevant experience.

Desired: 8-12 years of relevant experience; 4-6 years of experience in university event planning and/or production; 4-6 years of experience servicing and/or selling to customers in a university setting; strong communication and organizational skills; excellent rapport with customers, attention to detail and follow through skills; working knowledge of event logistics, audio-visual equipment, and catering processes; flexibility in schedule, including evening and weekend work in conjunction with scheduled events.

The targeted pay range for this position is $58,700 - $77,200 with ability to negotiate based on qualifications.
