Position Overview
The Business Operations Analyst, Facilities and Event Services will report to the Associate Manager of Facilities and Event Services. They will act independently implementing operational logistics related to facility and event operations that support the strategic goals and objectives of the organization. This position will manage an administrative assistant at the Ohio Union OSUAA satellite office. Assists in the supervision and support of the organization strategic goals for the leased office space at the Ohio Union. Supervises, executes, and oversees the daily operations for the Alumni House facilities and event services for a team. Assists LAH mail, UPS, FedEx and contracted housekeeping services. Responsible for the hiring, training and the orientation of staff and student staff. Ensures outstanding service is provided to enhance the client/guest experience by creating processes and guidelines that bring consistency to the facility and event operations. The Operations Analyst independently manages a portfolio of events and oversees the process. Must be able to work a flexible work schedule (including evenings and weekend work).

Completes annual performance management procedures, manages performance issues, and is responsible for using independent, consistent, and fair judgement in exercising authority. This position is part of the Advancement Facilities and Event Services Team that resides in the Longaberger Alumni House (LAH) and the University Square North (USN). It will also perform support services for the Ohio State University Alumni Association and Advancement. This position will reside in LAH.

Duties and Responsibilities

Supervises a broad range of miscellaneous administrative support to aid in the success of the Ohio State Alumni Association and the Longaberger Alumni House Facilities and Event Services team. Collaborates with the facilities and event operations team to ensure all customers’ needs and expectations are met. Supervises, executes, and oversees the daily operations for the Alumni House facilities and event services team by creating daily operation task sheets.
Assists in the management of the Alumni House webpages/marketing; develops and maintains relationships with campus partners to promote Alumni House Events across campus and in the community by incorporating solicited and unsolicited sales of event space. Produces monthly, quarterly, and annual reports that track the utilization data for department analysis. Ensures outstanding service is provided to enhance the client/guest experience; resolves customer disputes. Manages the Administrative Associate who serves as a satellite office liaison for internal and external customers. Develops procedures, assigns, and prioritizes work, and ensures that the resources needed to accomplish work are provided. Hires, trains, and supervises staff; manages performance issues; is responsible for using independent, consistent, and fair judgement in exercising authority.

Responsible for forecasting and soliciting potential revenue, identifying trends and for all incoming revenue from events. Assists with LAH mail, UPS, FedEx and contracted housekeeping services. Manages a large portfolio of events to include high-profile clients such as OSUAA Board of Directors, OSUAA Alumni Advisory Council and OSU Board of Trustee’s. Oversees unsolicited and solicited leads for future reservations; conducts tours and develops proposals for potential clients; has the autonomy to negotiate contracts. Collaborates with clients to ensure related expenditures are within scope and prepare event budgets. . Serves on committees; represents the Association at Association-related events/functions as needed. Establishes and monitors goals, provides performance feedback and coaching, and supports professional development; completes annual performance management procedures.

Reviews weekly LAH events during team meetings. Creates and reviews processes and guidelines to bring consistency and standards to the event office operations. Monitors and assists in the receipt of catering site fees to ensure timely processing of additional revenue.

Contributes as a strong team member across OSU Alumni Association and Advancement; assists in the rotational activities and vendor requirements for OSU, home football Saturdays; Participates on University departments/committees as a liaison or committee member as assigned. Represents the Association at Association related events/functions as needed. Performs other duties the Supervisor and/or President/CEO may choose to assign.
Required Qualifications
- Bachelor's degree or equivalent experience.
- Two (2) years of relevant experience.
- Able to manage a complicated schedule for 3 facilities.

- Four (4) years of relevant experience.
- 2-3 years’ experience in staff and student management.
