The Ohio State University College of Dentistry seeks an Executive Assistant/Office Manager to join the Office of Clinic Administration. The Office of Clinic Administration oversees the college health care delivery system ensuring optimal health care experience for our dental patients and students.
The Ohio State University College of Dentistry is the fourth largest public dental school in the United States and it is the only public dental school in Ohio. The college is divided into ten divisions with all major ADA-recognized dental specialties represented. The College has approximately 600 students in its
undergraduate and graduate programs.
The Executive Assistant/Office Manager is responsible for providing a wide variety of complex administrative support for the Associate Dean of Clinic Administration and Patient Care and the management of the Office of Clinic Administration.
This position reports to the Associate Dean and is responsible for management of complex calendar and meeting requests, while assisting to establish appointment priorities; schedules business travel arrangements; manages expense reports and reimbursements; composes and edits correspondence;
reviews materials including emails for completeness. This position leads and assists with several clinical projects, coordinates special events and trainings, creates manuals, reports and proposals, and initiates process improvement initiatives and workflows; supports and manages numerous college committees,
serves as the college Press Ganey patient experience liaison, College of Social Work Field Experience liaison, and is the main contact for several clinical vendor services. This position is exposed to highly confidential information and sensitive matters and requires discretion, judgment, and tact.
As the Executive Assistant/Office Manager for the Office of Clinic Administration, this position supervises office administrative positions and the student greeter positions. This position assigns and delegates tasks, hires, and trains employees, and manages sensitive internal and external matters. The Executive Assistant/Office Manager de-escalates patient matters and captures patient grievances; assists with the department budget, generates annual blanket orders and approves monthly invoices; manages college intranet for clinical information and department webpages. The Executive Assistant/Office Manager organizes and coordinates office operations and procedures to ensure organizational effectiveness and efficiency.
Work Schedule:
Regular office hours are Monday-Friday from 7:30AM-4:30PM; may be asked to work additional hours as needed based on department needs.
Salary:
$22.16 - $29.54/per hour
Required Screenings:
This position requires successful completion of a criminal background check and drug and alcohol screening.
Physical Requirements:
Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions. This position requires sustained periods using a keyboard and performing other computer work. Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks. Ability to lift 25 pounds with or without accommodation.
Required Experience and Education:
Bachelor's degree in business or an administrative field or an equivalent combination of experience; excellent written communication and interpersonal skills; excellent computer skills; Microsoft Office (strong Word, Excel and PowerPoint required) experience;; organizational skills; highly focused and results oriented; ability to think on feet, anticipate needs and thrive in deadline-driven environments; highly dependable and detail-oriented; planning and prioritization skills; well-developed interpersonal communication skills; ability to negotiate effectively; solution oriented, troubleshooter and able to juggle multiple projects with shifting priorities.
Desired Experience and Education:
3-5 years of previous Administrative Assistant/Office Manager experience; one year of supervisory experience; 3-5 years of administrative experience managing projects; experience in education and establishing and writing of office procedures and best practices.
